Executive Assistant

**Responsibilities**:
- Plan and coordinate Team’s travel schedules
- Manage all aspects of Travel & Entertainment process, ensuring compliance with policy
- Track and report on Team T&E Expenses budget.
- Maintain Legal team’s calendars
- Liaise with external stakeholders (e.g., law firms, bottler general counsels and teams) and extensive diary management
- Coordinate on Legal documents for authorized signatures with Global Trademark team, PGCS, PepsiCo Corporate entities and JV Corporate documents
- Prepare on and off-site meetings and conferences, handling all logistics and coordination, providing ground support to attendees and providing detailed itinerary and schedule.
- Handle arrangements for visitors, invitation letter, meeting room.
- Handling PR/PO for legal consultant fee, contractors as well as other office supplies, translation, legal subscriber expense for legal team.
- External Legal Budget Tracking
- Create and maintain legal files as well as Training records
- Collecting data from the team for monthly report to Sector.
- Rep Letter.
- Maintain travel and vacation records for legal team. Centralize files in a share drive where associates can update by themselves.
- Plan and Organize ABT & other Legal Training for all Asia BU FOBO as well as BU HQ team.
- Tracking number of Events/Training Participants that need to be trained, update online training records.
- Coordinating on Legal documents such as EBA/DA/Coop/Marketing agreements etc. on final version be signed,
- Monitor / Update corporate entity information on hCue (external database)
- Proceeding Legal documents to Authorization Signature via wet ink and Adobe digital sign as well as to TM Global team on singing as well as to keep tracking status.
- Contract management: entering basic contract information for each contract into legal database for filing/management purposes; keeping contract database up-to-date; obtaining internal signatures; filing physical copies of contracts.
Qualifications:
**Qualifications**
- 2-5 years of relevant experience. Would be a plus if used to work in the Legal Firm, having experience in managing legal document filing/submitting documents to government entities
- Results driven with attention to detail
- Proven communication skills - verbal and written
- Technical efficiency with database systems
- Highly organized, able to meet deadlines and manage multiple demands
- Proficient knowledge of Microsoft Office. Excellent in Excel & PowerPoint is a plus.
- ** Fluent in Thai and English (speaking, reading, and writing)
