**MAIN PURPOSE**

The Executive Assistant supports MD to perform her responsibilities in an organised and timely fashion which is consistent with the operating practices of the business. He/She will act as the MD's first point of contact with people from both inside and outside the organization, constantly maintaining an upmost level of confidentiality and discretion with all information pertaining to the business, the MD, information obtained from colleagues and business activities in general.

**KEY RESPONSIBILITIES**
- Provide a high quality secretarial and organisational support service.
- Effective management of the electronic diary, assessing priority of appointments and reallocation as necessary, ensuring the most effective use of time for the MD.
- Act as a key liaison point between the managers and other key external parties, setting up meetings as appropriate and maintaining good communications.
- Ensure MD is well prepared and supported for an extensive range of meetings with internal and external parties. This will include organising meeting venues, preparing agendas, pre-meeting briefings, taking minutes of meetings, noting action points and following them up accordingly.
- Research, collate information from internal and external sources to prepare for presentation or reports for the MD as required.
- Advise the MD of impending work deadlines for both internal and external commitments, e.g. management meetings, reports, presentations, conference, projects
- Receive and deal with telephone calls professionally, re-direct or take messages and use initiative to deal with queries.
- Sort, distribute and respond or draft responses to incoming mail in a timely and efficient manner.
- Organise and maintain effective filing systems.
- Make travel and visa arrangements, book accommodation and prepare travel itinerary for the MD. Coordinate with the respective PAs to manage the travel itineraries of visiting Senior Management.
- Provide high quality and professional office hospitality to visitors.
- Organise events, conferences, lunches/dinners, or meetings hosted by the MD.
- Submit expenses claims on behalf of the MD.
- Support cooperate secretarial duties by coordinating documents for signatures, safekeeping, etc.
- Maintain a professionally appropriate, high standard of personal presentation by adopting an appropriate standard of dress, appearance, and personal hygiene at all times.
- Deliver office administrative tasks as required.

**REQUIREMENTS**
- Minimum 5 years of relevant experience
- At least a Degree in any discipline
- Proficient in Microsoft Office Word, PowerPoint and Excel
- Highly proficient in written and oral communication in English
- Effective communication skills, including the ability to effectively communicate requests and instructions to individuals and groups
- Possess flexibility and adaptability to manage changing work requirements and varying volumes of work
- Ability to work co-operatively and effectively within the team and the organization
- Ability to manage multiple tasks simultaneously, solve problems, manage and meet deadlines and maintain a high quality of work
- Possess a personal presentation that reflects a professional image and the values of the organization
