**Job Purpose**:
Carried out the day to day HR and administration of the company ensuring administration system, company policies, procedures are followed, effective recruitment & selection, effective payroll & compensation to support the smooth operation of business whilst maintaining a high degree of employee satisfaction and focusing on customers’ satisfaction and proactively involve in operational personnel recruitment to achieve business unit goals including finding qualified people who align with business requirements within the deadline also To ensure that training and development activities for the store level are effectively planned, developed, implemented, monitored and evaluated in order to achieve 100% customer satisfaction.
**Main Duties**:
- Ensuring HR administration systems and company policies and procedures are followed. Including, but not limited to, recruitment, promotions, transfers, personnel administration, employee relations, payroll and compensation, and staff benefits.
- Implement and maintain all human resources policies relating to Monitor HR payroll and administer Compensation and Benefits at store level.
- Handle basic function of HR inquiries.
- Organize various activities including CSR activities, staff party, manager’s conference and other activities as assigned by supervisors.
- Set up effective communication channels with stores such as newsletter, PR, memos etc.
- Ensure exit interviews conducted and taken into action for all staffs terminating their employment.
- Ensure job descriptions and person specifications are developed, updated and communicated on a regular basis for all positions.
- Ensure orientation program is conducted for new joiners.
- Coordinate trainee and apprenticeship program, including monitoring of performance.
- Assist with the organization of meetings, trainings, outings and other events.
- Participate in training & development, meetings and other development programs
- Ensure that Monthly/ Daily working hour report is completed on a timely basis.
- Ensure that Monthly turnover and resignation report is completed on a timely basis.
- Perform other duties as assigned by supervisor.
- Ensure the efficient running of the Training department, ensuring that all the policies and procedures outlined are strictly adhered to.
- Prepare monthly Training reports and presentations.
- Prepare and implement the annual Training Plan and Calendar.
- Establish and monitor all employee training records on Clubhouse, ensuring that they are kept up to date.
- Prepare and update training related manuals.
- Prepare and manage the Training budget, ensuring that the budget is strictly adhered to, that all costs are controlled and that expenditures are properly approved.
- Spend time at stores checking service standards, including personal hygiene and grooming, and taking necessary actions to close gaps.
- Ensure that all company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to.
- Assist in the compilation and implementation of all employee communications.
- Market the need, values and execution of training programmes.
- Coordinate cross-exposure, internship, out-of-house and external training programmes as well as the use of outside training resources.
- Have a thorough knowledge and understanding of all company products and services.
- Coach and counsels all employees when applicable, including the monitor of IDPs.
- Organise and conduct training programmes such as orientation, management training programmes, ensuring all employees successfully complete necessary training as required.
- Certify Training Stores and monitor their performance.
- Maximise employee productivity through the use of multi-skilling and multi-tasking to meet the business goals as well as customer expectations.
- Conducts annual Performance Appraisal with direct subordinate.
- Ensure that Monthly/daily training report is completed on a timely basis.
- Actively participate in all HR activities.
**Other Duties**:
- Adhere to the company’s employee rules & regulations.
- Attend and contribute to all training sessions, meetings and activities as required.
- Exercises responsible management and behaviour at all times, positively representing the MFG and The Coffee Club.
- Maintains strong, professional relationship with relevant business partners.
