The Hive is looking for an ambitious, Business Administration Manager to be the first point of contact for our centralised team, managing the daily and monthly financial, administration and maintenance projects for our coworking spaces across Bangkok.

**About the Role**

**Perform Human Resources Duties**

**Oversee Finances**

Business Administration Managers will generally provide assistance to Finance HQ and the Country Manager in handling budgets. In cooperation with the operations teams, they must find ways to reduce costs of supplies and services and monitor the flow of money to ensure they stay within their proposed budget. They will often work with the accounting or accounts receivable departments closely to perform these duties.

**Manage Office**

An important part of the Business Administration Manager’s job is assisting the day-to-day operations of the office. This may include ordering supplies, scheduling maintenance of the office’s equipment and computers, maintaining meeting schedules and writing or reviewing contracts. The Business Administration Manager may see to these tasks themselves, or they may supervise employees who do these duties.

**Duties and Responsibilities**
- Deliver a full range of quality office administration services including but not limited to insurance management, site office administration, office equipment and space maintenance and reconciliation of expense reports
- Work closely with the Accounting team to follow-up on invoices and payments
- Ensure outgoing payments to suppliers / vendors are carried out on time
- Work alongside strategic teams for allocation of administration resources to meet business requirements
- Liaise with site offices in managing, modifying and improving workflow to optimize the use of company resources
- Ensure all administrative and financial documents are well organised and maintained
- Provide general support to members and visitors when required
- Provide support in Human Resource Department and Staff Payroll
- Provide support in IT
- Assist in Front of House service and support to the Front of House team.
- Overseeing and managing all aspects of the finance department.
- Support with the preparation of the company’s budget.
- Cashflow forecasting
- To monitor and manage the day-to-day financial operations matters.
- Provide financial reports and interpret financial information to managerial staff while recommending further courses of action
- Analyse costs, pricing, sales results and the company’s actual performance compared to the business plans
- To ensure compliance with accounting policies and local regulatory requirements
- Liaise with auditors to ensure appropriate monitoring of company finances is maintained
- Liaise with tax agent to ensure the submission of yearly corporate tax, local tax, withholding tax & etc

**Requirements**:

- University degree in Business administration, accounting and finance or any related discipline
- 3+ years experience in administrative, support or a financial role. Previous experience in a coworking, serviced office or related field is an advantage
- Passionate about entrepreneurial communities
- Must have strong verbal and written communication skills
- Exceptional organisational, numeracy and multitasking skills
- Must demonstrate core values of integrity, dependability, self-awareness, excellent work ethic, and empathy for others around them
