Key Responsibilities:

Material Planning & Forecasting:

  • Work on material requirement plans based on sales forecasts, inventory levels, and lead times.
  • Monitor stock levels regularly and initiate timely procurement to prevent shortages or overstock.
  • Coordinate closely with sales, warehouse, and operations teams to align procurement with demand.

Supplier Sourcing & Negotiation:

  • Source and evaluate both local and overseas suppliers for quality, pricing, reliability and lead time.
  • Build strong, long-term supplier relationships and proactively seek better sourcing options.
  • Negotiate favorable prices, payment terms, and delivery schedules to reduce cost and ensure timely supply.

Purchase Execution & Documentation:

  • Raise and manage purchase orders according to planning and approval processes.
  • Ensure all procurement activities are accurately documented and comply with internal policies and legal requirements.

Import Coordination & Freight Handling:

  • Liaise with freight forwarders, customs brokers, and logistics providers for international shipments.
  • Ensure timely shipment booking, proper documentation and customs clearance.
  • Track inbound shipments and take proactive steps to avoid delays, demurrage, or penalties.

Inventory & Logistics Coordination:

  • Work with the warehouse teams to coordinate goods receipt, inspection, and storage.
  • Follow up on claims for damaged, missing, or defective goods with suppliers or shippers.
  • Ensure accurate and timely updates of incoming stock in inventory systems.

Reporting & Analysis:

  • Prepare regular reports on procurement status, supplier performance, lead times, and landed cost analysis.
  • Identify opportunities for process improvement and cost savings in procurement and logistics.

Qualifications & Experience:

  • Bachelor's degree in Supply Chain Management, Business Administration, or a related field.
  • At least 5 years of experience in purchasing, material planning, and import coordination in a trading.
  • Strong knowledge of international sourcing, freight logistics, incoterms, and customs documentation.
  • Proficiency in ERP/procurement systems (e.g., SAP B1) and Microsoft Excel.
  • Good command of English (written and spoken) is required.
  • Ability to manage multiple tasks simultaneously and remain focused under pressure.
