Overview
We are seeking a highly organized, proactive, and detail-oriented Secretary to provide professional administrative and organizational support to senior executives. The ideal candidate must be able to handle confidential information, manage multiple priorities, and communicate effectively in both Thai and English
Key Responsibilities
1. Executive Support
- Manage executives' calendars, appointments, and meeting schedules.
- Coordinate internal and external meetings, including preparing meeting materials.
- Assist in preparing presentation slides, reports, and other business documents.
- Handle travel arrangements such as flight bookings, accommodations, transportation, and travel itineraries.
2. Communication & Coordination
- Serve as the point of contact between executives and internal/external stakeholders.
- Manage email correspondence in Thai and English.
- Coordinate with various departments to ensure tasks, information, and projects are delivered on time.
3. Office & Administrative Support
- Organize and maintain files, records, and confidential documents.
- Manage reimbursement processes for executives, including collecting receipts, preparing expense claims, submitting requests, and ensuring timely payment.
- Track expenses claim, payment requests, and other administrative processes.
- Perform ad hoc tasks and special assignments as requested by executives.
4. Confidential & Professional Conduct
- Handle sensitive and confidential information with discretion.
- Ensure all communications are conducted in a professional and appropriate manner.
Qualifications
- Bachelor's degree in Business Administration, Arts, or related fields.
- 2–5 years of experience in secretary, executive assistant, or administrative support roles (experience with senior executives is a plus).
- Excellent command of English (both written and spoken).
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and general office tools.
- Strong coordination, time management, and multitasking skills.
- Positive attitude, service-minded, and able to work under pressure.
- Flexibility in working hours and work tasks, with the ability to adapt to changing priorities or urgent requests.
