E-commerce Operation Supervisor

Key Responsibilities
Order & Fulfillment Management
Monitor and manage end-to-end order flow across OMS, WMS, and LMD systems (order creation → picking/packing → ready to ship → shipment).
- Ensure SLA on order processing meets company standards (same-day processing, courier cut-off management).
- Coordinate with warehouse and logistics partners to resolve daily operational issues.
Product & Pricing Management
Oversee product listing accuracy across all platforms (Shopify / Marketplace / OMS).
- Ensure product info, pricing, and promotions are consistent, correct, and on schedule.
- Manage bulk uploads, data templates, content quality, and update cycles.
- Work with merchandising team for new arrivals, restocks, and price change alignment.
Inventory Management
Monitor stock accuracy between physical warehouse, OMS, and platform channels.
- Coordinate stock reconciliation, cycle count issues, and inventory adjustments.
- Prevent oversell/undersell by monitoring stock sync timing and system/API errors.
Customer Service & Issue Resolution
Support CS team with complicated order issues: missing items, wrong items, cancellation, return/exchange, delivery delays.
- Understand customer insights and provide feedback for product, service, and process improvement.
- Track recurring issues and coordinate with related teams to fix root causes.
Cross-Functional Coordination
Collaborate closely with Warehouse, Logistics, Finance, Marketing, Content, and IT for smooth daily operations.
- Act as the main contact point for marketplace operations (Shopee/Lazada/TikTok) and system vendors.
Leadership & Team Management
Supervise and coach the operation team; assign tasks, monitor performance, and improve workflows.
- Drive a positive, collaborative, and data-driven working environment.
AI / Automation / Process Improvement
Identify opportunities to automate repetitive tasks using AI, OMS/WMS tools, or workflow automation platforms
- Work with tech team to improve system integrations (OMS WMS Platforms).
- Monitor data quality, create operational dashboards, and enhance real-time visibility.
- Lead/assist in digital transformation projects to reduce manual tasks and improve SLA.
Reporting & Documentation
Prepare daily/weekly/monthly performance reports (order status, inventory, SLA, CS issues).
Qualifications
- Bachelor's or Master's degree in Business, Marketing, Operations, IT, or related fields.
- Experience in E-commerce operations (Marketplaces, Shopify, Magento, OMS or WMS).
- Strong understanding of online retail flow: order lifecycle, logistics processes, omnichannel operations, and hybrid fulfillment models.
- Knowledge in AI tools, automation platforms, or technology to improve workflows is a plus.
- Creative and adaptive mindset; willing to learn new technologies.
- Proficiency in MS Office systems (Excel).
- Good command of English and strong communication skills.
