Sales and Office Administrator

RESPONSIBILITIES
Tender Bid Duties
- Partition tender documents for different stakeholders namely commercial, technical, service and legal and send to respective stakeholders
- Work with Sales leadership to outline tender process milestones and submittals
- Work with technical on procurement to obtain best cost solutions for win strategy
- Liaise with stakeholders in advance and work out issues to ensure submission date is not compromised, and compile for submission
- Validate submittals are compliant to submission criteria
- Pace along a bid and support procurement, pricing and submission
- Maintain currency of submittals depository
Service Sales
- Assist Sales Manager to Develop and grow the service sales revenue through new maintenance contracts, contract renewals, cyclical battery/spares replacements, spare parts sales and ad-hoc service works
- Assist Sales Manager to Complete and submit all monthly business report on time
Service Administration
- Update customer database, contract details and maintain with accuracy
- Work with Service Sales Admin for contract renewals administrative process
- Checking/preparing of parts in warehouse and preparing picklist for Engineer Intervention
- Ensure scheduled visits are completed
- Order and parts delivery to complete service works on time
- Read service reports and raise quote requests
- Ad-hoc administrative on new customer/vendor creation and new portal submission
Customer Service
- Develop and maintain good relations with customers
- Close follow ups with customers for commercial/Administrative matters
- Coordination Support
- Coordinate requests from salespeople in fulfilling necessary corporate goodwill gestures to clients and partners (e.g. D&D sponsorship, condolences gestures etc.)
- Support coordination on demand planning (stock requisition report) and factory acceptance test trips arrangement
Office Administration
- General office administrator support to all
- Maintain structured filling system for contracts, agreements and commercial documents
REQUIREMENTS
- Diploma in Marketing/Business/Engineering
- Tender bid/contract management experience
- Experience in office administration support
- Able to communicate in English
