HR & Administration Executive

**The Role**
We are seeking an experienced HR & Administration Executive to proactively and effectively support the smooth running of all HR operations and day-to-day office administration. With our ambitious growth plans, there is the potential for the right individual to grow the role and their career with the organisation.
**Ideally, the HR & Administration Executive must**:
- have excellent communication and interpersonal skills
- have excellent English and Thai skills (written and spoken)
- proactively adapt to changing priorities and handle multiple tasks simultaneously in a dynamic environment
- have the ability to deal with sensitive information and maintain strict confidentiality and ethical conduct
**Responsibilities**
- Coordinate and deliver all HR operational tasks across the employee lifecycle, including keeping employee records up to date on the HRIS
- Oversee all office administrative tasks, including office maintenance, procurement of supplies, vendor management, and administrative assistance to the founding partners
- Liaise effectively with different government departments (BOI, Immigration, Labour, Tax and Revenue, etc.) to ensure compliance for all matters related to visas, work permits, working regulations, tax, etc.
- Oversee the visas, work permits and extension processes for international employees or employees requiring work authorisation; maintaining accurate records and providing guidance/support as needed,
- Coordinate preparation and review of monthly payroll for accuracy and compliance with local labour laws
- Contribute actively to the onboarding and induction of new joiners
- Coordinate travel arrangements and logistics for employees, including visa-related travel requirements
- Oversee office security, including access control systems and visitor management
- Manage office facilities and equipment, ensuring proper functionality and maintenance
- Administer and communicate employee benefits programs, ensuring their understanding and utilisation
- Manage the enrollment, changes and termination of employee benefits, staying updated on industry trends and regulations
- Coordinate with insurance providers, benefit vendors, and third-party suppliers
- Contribute actively to staff engagement and recognition initiatives
- Support budgeting and financial processes, including handling and monitoring petty cash
**Qualification**
**Ideally, the HR & Administration Executive should have**:
- Bachelor’s degree in Human Resources, Psychology, or a related field
- At least 5 years’ working experience in HR operations and administration, including knowledge of relevant laws, regulations and compliance requirements
- Experience and proficiency in liaising with government departments/local authorities, including handling visa and work permit processes for international employees
- Strong understanding of HR best practices, policies, and procedures
- Experience in general administration, including office management, vendor coordination, and facilities management
- Familiarity with employee welfare and benefits programs, including health insurance, retirement plans, and employee assistance programs
- Excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines
- Strong problem-solving and decision-making abilities
- Exceptional interpersonal and communication skills to effectively interact with employees at all levels
- Attention to detail and accuracy in handling administrative tasks
- Proficiency in HR software and systems
- Fluency in verbal and written English and Thai
