Position Title: Regional Operations Support Manager

Reports to: Director, Regional Financial and Operations Support, APRO

Job Summary

Responsible the functions of operations support (procurement, administration and travel) in Asia Pacific Regional Office (APRO) and country offices under APRO’s supervision, to make sure that they run efficiently and effectively. Ensure that the operations support (procurement, administration and travel) of the projects supervised by APRO are functioned smoothly and compliant with the relevant rules and regulations (FHI360, funder and local/international law), by performing the work efficiently and effectively, coordinating with internal parties (the relevant departments (finance, program management, management, etc., at regional offices, HQ, and other country offices), and external parties (suppliers, auditors, etc.). This also includes capacity building the relevant staff and review the operation manual.

Key Job responsibilities:
Procurement: This includes but not limit to
- Proceed the whole procurement process for both goods and service, control all assets (computer, furniture, software, cell phone, tec.) and make sure that enough supplies (stationery, medical equipment, and pharmaceuticals, etc.) for APRO, and support country offices under APRO supervision as needed on these functions.
- Act as liaison with accounting to assure purchase orders are paid as due and accounts are maintained currently.

Administration: This includes but not limit to
- Facilities: Manage and direct all facilities activities to achieve organizational goals.
- Conference: Organize company events or conferences and necessary logístical support, if needed.
- Office Space: Serve as coordinator with Project teams and Management regarding the setting up of new project offices and closing of project offices in the region with various teams.
- Legal matter: Liaise with HQ BSU/Banking/Legal to maintain active office registration, lease agreement, banking and legal which relevant to process, as required by HQ, accuracy and on the timely manner.
- Security: Be the focal point of APRO Security with HQ security team and share the security concern/high risk with all staff based in Thailand.

Travel: This includes but not limit to
- Proceed whole travel process both overseas and local at APRO, and support country offices as needed, included guiding staff on actions related to refunds, rebates, cancellations, and other associated actions as it pertains to employee travel.

Others:

- Capacity building relevant staff and review operation manual.
- Perform other related duties as assigned by management.

Supervision Given/Received:

- Manages staff to meet departmental and organizational goals.
- Provide guidance to APRO and country offices as needed, including training to build staff capacity as needed
- Develops and recommends solutions to meet internal and external needs of the organization and department.

Education**:
Bachelor's Degree or international equivalent in Business Administration or Related Field.

Experience**:

- 5-8 years of facilities management, operations, procurement experience.
- Articulate, professional and able to communicate in a clear, positive manner with clients and staff.
- Must be able to read, write and speak fluent English.
- Prior work in a non-governmental organization (NGO), and experience working with projects funded by USAID will be a plus.

Typical Physical Demands:

- Typical office environment. Ability to sit and stand for extended periods of time; ability to lift 5-50 lbs.

Travel Requirements:
5%-10%
