Admissions and Visa Officer / School Registrar Officer

The Admissions Officer plays a key role in the pupil recruitment process, ensuring the smooth and efficient handling of applications and enquiries from prospective families. This role is line managed by the Head of Admissions and involves coordinating the admissions process from initial enquiry to enrolment, maintaining accurate records, and delivering excellent customer service.
Key responsibilities :
Team Management:
- Create and develop a positive, dynamic team atmosphere within the Admissions Department.
- Provide leadership, support, and guidance to the Admissions team, ensuring high standards of professionalism and collaboration.
- Monitor and evaluate the performance of team members, fostering growth and accountability.
- Take responsibility for the strategic direction of the Admissions Team, contributing to the College's Self Evaluation and Development Plan.
- Lead by example, acting as a role model for professionalism, commitment, and initiative.
Admissions Strategy and Responsibilities:
- Manage and maintain all pupil and family admissions data, ensuring accuracy and compliance.
- Gather required documents for student visa applications and coordinate with the agency responsible for visa processing at immigration
- Coordinate all aspects of the admissions process, from initial enquiry to enrolment and beyond, including registration, assessments, and follow-up communication.
- Organise and host visits, tours, and assessments, ensuring prospective families experience the College's ethos firsthand.
- Collaborate with the Marketing Team to deliver recruitment events and build strong relationships with recruitment agencies and the expatriate community.
- Regularly produce data analysis and reports for the Head Master and Governors, identifying trends and areas for improvement.
- Ensure effective and timely communication with prospective and current families, acting as the main point of contact throughout the admissions process.
- Maintain and distribute accurate class lists, pupil numbers, and statistical data as required.
Stakeholder Engagement and Community Building:
- Build and maintain strong relationships with parents, pupils, and external agents, ensuring a welcoming and professional experience for all.
- Act as a supportive contact for families after enrolment, ensuring they feel valued as part of the College community.
- Foster close partnerships with parents, initiating contact in appropriate circumstances and maintaining clear records of interactions.
- Represent the school professionally in all interactions, promoting the College's values and ethos at all times.
- Work effectively and collaboratively with admissions staff from Brighton College's sister school in Bangkok (BCB Vibhavadi) and with Brighton College International staff as required.
Professional Responsibilities:
- Uphold the highest standards of organization, administration, and professionalism in all aspects of the role.
- Attend key school events, including Open Days, productions, and sporting activities, to support the College's mission and build community ties.
- Maintain strong knowledge of market trends and best practices in admissions, both locally and internationally.
- Contribute to the College's website, social media, and publications to enhance the school's profile.
- Ensure all communication is timely, appropriate, and aligned with the College's vision.
- Act as an ambassador for the College, demonstrating pride in the institution and its values both within and beyond the school.
Formal Qualifications/Experience
- Bachelor's degree in English or a relevant discipline
- 1 year of experience with expatriate admission, visa, and work permit applications/submissions
- Fluent command of the English and Thai languages
- Experience of an Admissions team in a relevant school setting
- Knowledge in using Admissions tools such as Open-Apply and ISAMS
- Strong communication skills
- Strongly service-minded and good organizational skills
- Be Customer service-oriented.
- Ability to work in a team.
- Good computer skills
