The mission of this department is to support the success of all employees.As a small company with currently 15 employees, this department only has one HR staff member (currently on maternity leave) and the predecessor of this role (scheduled to resign). You will primarily handle General Affairs and Accounting duties and will also cover HR duties during the HR staff's maternity leave. However, continuous involvement in HR operations or taking on the role of department head can be considered depending on your career aspirations and aptitude.Responsibilities General Affairs & Administration (総務・法務)Facility/Equipment Management:Office facility management (cleaning requests, guiding visitors, etc.).Management and ordering of supplies, consumables, and fixed assets (PCs, etc.).Reservation and usage management of external meeting rooms.Contract/Document Management:Management and renewal of various contracts (lease agreements, service agreements, etc.).Establishment and maintenance of a system for managing internal documents and filing.Preparation of signatures (including electronic) and company seals for various documents.Other:Support for expense settlement, compliance checks for internal regulations, payment processing.Preparation and operation of internal events, meetings, and visitor reception.Support for information security management.Visiting the post office for document delivery.Visiting customers and suppliers to exchange necessary documents.Performing necessary procedures at RD (Revenue Department), SSO (Social Security Office), Immigration, Embassy, etc.Ordering business cards and registering MD's acquired business cards in the system.Reporting status at weekly all-hands meetings.Receiving and managing mail, and answering incoming calls.Supporting BOI (Board of Investment) application procedures. Accounting & Finance (会計・財務)Daily Accounting:Journal entry management, voucher processing.Management of Accounts Receivable (AR) and Accounts Payable (AP), issuance and confirmation of invoices and receipts.Bank deposit management, cash handling, and Bank Reconciliation (including Credit Card).Preparation and management of Stamp Duty for necessary documents.Tax Filing:Preparation and submission of monthly declarations (VAT/P.P.30, Withholding Tax/P.N.D.3, 53, etc.), Payment/Receive Vouchers, Account Payable/Receive, Bank Statements, etc. (in coordination with external accounting firm).Corporate tax (P.N.D.50, 51) payment procedures.Managing work records, payroll, sales information, receipts, etc., and coordinating with the external accounting firm.Financial Closing:Support for monthly and annual financial closing tasks (providing and confirming data required for financial statement preparation, in coordination with external firms).Creation of reporting materials for the parent company (as needed).Payroll Calculation and Payment:Calculation, management, and payment procedures for sales incentives.Calculation, management, and payment of bonuses based on employee certifications and referral results.Execution of payroll calculation, issuance and sending of payslips to each employee, and payroll payment procedures.Other:Visiting banks, etc., to perform various procedures.Management of company cash flow and number of employees, and updating reports for HQ.
