We are seeking an experienced Customer Service Representative to be the central support for our operations, spanning Sales, Procurement, and Logistics. This role is critical for ensuring a positive customer experience by managing order fulfillment, payment receivables, and complaint resolution.
Key ResponsibilitiesYou will act as the key contact within the sales region, focusing on delivering exceptional service and promoting customer loyalty.
Customer Service & Order Management
- Serve as the first point of contact for all general customer inquiries (e.g., order intake, pricing, products, scheduling).
- Process customer orders immediately in the ERP system and confirm orders with accurate terms and delivery schedules.
- Coordinate offer information and deliver customer quotations to the external sales team.
- Manage customer returns/claims by accepting, documenting, and following up as needed.
- Document all customer issues and interactions in the CRM system.
- Act as a key liaison between the customer, external sales force, and company headquarters.
- Obtain and evaluate information to process and resolve customer inquiries and complaints.
Logistics, Finance, and Procurement Support
- Maintain accurate shipping/logistics details and continually update customers.
- Interface with manufacturing to improve sales forecasts and ensure on-time shipments.
- Handle invoicing routines, consignments, and reconciliations, and actively support the collections process (Payment Receivables Control).
- Manage indirect purchases for the division, including placing Purchase Orders (POs) on registered suppliers and coordinating material stocking and supplier payments.
- Coordinate with freight couriers, freight forwarders, and clearing agents for Imports and Exports.
Experience: 4-7 years of experience in a related field. Experience in a Sales and Marketing division is preferred.
Skills: Technical aptitude with good interpersonal and communication skills (written and spoken).
System Knowledge: Demonstrated experience with ERP systems and the ability to adapt to new IT systems and processes.
Functional Expertise:
- Sales Order Processing and Inventory Control
- Direct and Indirect Purchasing
- Knowledge of Import Export Rules and Regulations, Customs Tariff, and SVB
- Experience monitoring and resolving Customer Complaints
- Knowledge of Quality Systems
