This position is located in the Conference Management Unit of the Conference and General Services Section, in the Division of Administration. The incumbent reports to the Meetings Services Assistant (Supervisor of Conference Support Team).
- Responsibilities
- Under the direct supervision of the Meetings Services Assistant (Supervisor), and overall supervision of the Chief of Conference Management Unit, the incumbent is required to perform the following functions: - Provides a broad range of general office support to help ensure the smooth functioning of CST in preparing and supporting all meetings/conferences at the United Nations Conference Centre (UNCC) including provision of banqueting, registration and photography services. - Uses MS Office to produce a variety of routine correspondence, reports, tables, charts, graphs, etc., in accordance with institutional standards. - Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required. - Receives phone call and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required. - Maintains files (both paper and electronic) and databases for work unit. - Updates and maintains large distribution lists; assemble documents, reports and other materials for global dissemination, where possible using electronic formats; coordinates courier services. - Performs basic data entry and extraction functions. - Checks accuracy of simple calculations, codings, data, etc. - Photocopies a variety of documents and other materials. - Operates and maintains a variety of office equipment in the performance of basic office functions, e.g. photocopier, facsimile, printer, scanner, etc. - Delivers urgent mail/messages. - Performs other duties as assigned.

- High school diploma or equivalent is required. A first-level university degree may be accepted in lieu of two years of required experience.

- Work Experience
- A minimum of two years (or no experience if graduated with a first-level university degree) of responsible experience in general office support or related area is required. Experience in using MS Office is required. Experience in conference support or related area is desirable. Experience in photographing public events and using Adobe Photoshop/Illustrator is desirable. 1 year or more of experience in data analytics or related area is desirable. Experience in the United Nations Common System or in international organization similar to those in the UN Common System is desirable.
- Languages
- English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of Thai is desirable. Knowledge of another official United Nations language is an advantage.
