The mandate of the United Nations Economic and Social Commission for Asia and the Pacific (ESCAP) is to promote sustainable and inclusive development and regional connectivity in the Asian and Pacific region. ESCAP’s role as a regional development arm of the United Nations Secretariat is to support its membership with policy oriented research and analysis, normative support and technical assistance and capacity building, to respond to the development priorities and changing needs of the Asian and Pacific region.

This position is located in the Host Country Relations Unit, Commercial and General Services Section, in the Division of Administration. The incumbent reports to the Chief of Host Country Relations Unit.

**Responsibilities**:
Under the direct supervision of the Chief of Host Country Relations Unit, and overall supervision of the Chief of Commercial and General Services Section, the incumbent is required to perform the following functions:

- Provides general office support services, particularly on immigration and other host-country-related services, to help ensure the smooth functioning of an organizational unit.
- Uses standard word processing package to produce a variety of routine correspondence to various host country authorities and prepares reports, tables, charts, graphs, etc., in accordance with institutional standards.
- Proofreads written products for completeness and grammatical and typographical accuracy.
- Maintains calendar/schedules; monitors changes and communicates relevant information on immigration-related services to appropriate staff inside and outside the immediate work unit.
- Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material relevant to immigration and other host country-related services; tracks and monitors follow-up action as required.
- Receives phone call and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling issues relevant to immigration

- Maintains files (both paper and electronic) and databases for work unit.
- Updates and maintains large distribution lists; assemble documents, log sheets and Unit’s business intelligence reports and other materials for global dissemination, where possible using electronic formats.
- Performs basic data entry and extraction functions for services provided by the Unit.
- Checks accuracy of simple calculations, codings, data, etc.
- Photocopies, scans, and maintains a variety of documents and other materials for the Unit.
- Operates and maintains a variety of office equipment in the performance of basic office functions, e.g. photocopier, facsimile, printer, scanner, etc.
- Delivers urgent mail/messages.
- Performs other duties as assigned.

Education
High school diploma or equivalent is required.

Relevant first-level university degree may be accepted in lieu of two years of required experience.

Work Experience
A minimum of two years (or no experience if graduated with a bachelor’s degree) of responsible experience in general office support is required.

Experience in Thai Immigration procedures or other diplomatic privileges-related service is
desirable.

Experience with the United Nations Common System or Government Office or international organizations is desirable.

Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Fluency in Thai is desirable. Knowledge of another UN official language is an advantage.

Assessment
Qualified applicants may be evaluated through a competency-based interview and/or other assessment methods.

Special Notice

Must have passed the United Nations Global General Service Test (GGST) at Headquarters or an equivalent locally-administered test at Offices Away from Headquarters.
