Executive Secretary

Responsibilities:
Corporate
- Prepare and compile meeting briefs, agendas, and materials; take minutes and produce clear action summaries.
- Organize and manage executives' calendars; arrange meetings and ensure rooms/equipment are ready.
- Liaise with internal departments to deliver objectives on time.
- Manage communications on behalf of the executives (emails/letters/calls) as assigned.
- Plan and book business travel (flights, accommodation, ground transport, visas) and prepare itineraries.
- Welcome and assist visitors/guests; ensure smooth, professional coordination in all interactions.
Personal
- Manage personal calendars and day-to-day priorities, including family/guest coordination.
- Arrange end-to-end personal travel (tickets, hotels, drivers/transport, check-ins) and concierge tasks.
- Handle personal documents and records (passports, visa renewals, insurance, memberships, medical files, receipts).
- Coordinate with household/service vendors (residence management, utilities, maintenance, deliveries).
- Support personal purchases/gifting, private event reservations/RSVPs, and basic expense tracking/reimbursements.
- Accompany the executives on domestic and international trips as assigned, ensuring punctuality, privacy, and safety.
Qualifications:
- Bachelor's degree in Management, Business Administration, or related field.
- At least 2 years' experience as an Executive Secretary or Personal Assistant (C-suite support is an advantage).
- Exceptional organization, communication, and time-management skills; able to multitask under pressure.
- High integrity and discretion in handling confidential and personal matters.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and calendar/task management tools.
- Good command of English communication skills (spoken and written).
- Flexible with working hours and able to travel/assist after hours when required.
