Role Summary
The Procurement Officer is responsible for sourcing, negotiating, and managing all purchasing activities for the café, covering ingredients, beverages, packaging, equipment, and services. Reporting directly to the Head of Finance, this role ensures reliable supply at optimal cost while maintaining brand standards and operational efficiency. The ideal candidate is hands-on, detail-oriented, and knowledgeable about F&B supply chains.
Key Responsibilities
Procurement & Sourcing
- Develop and execute procurement strategies aligned with café operations and forecasted demand.
- Source high-quality ingredients (coffee beans, dairy, fresh produce, baked goods, etc.) and packaging materials that align with brand standards.
- Identify, evaluate, and qualify new suppliers to support menu expansion and operational needs.
- Negotiate pricing, contract terms, delivery schedules, and payment terms to optimize cost and service levels.
Vendor & Inventory Management
- Maintain strong relationships with existing suppliers; monitor performance, quality, and compliance.
- Conduct regular supplier assessments, including price benchmarking and quality checks.
- Work closely with store managers to monitor stock levels, avoid shortages, and minimize waste.
- Coordinate purchase orders and deliveries across 2–3 branches to ensure operational efficiency.
Cost, Quality & Process Alignment
- Track and manage procurement budget; identify cost-saving opportunities without compromising quality.
- Maintain product specifications to ensure consistency across branches.
- Support menu development by sourcing new materials and ensuring costed recipes stay within margin targets.
- Coordinate closely with internal teams to ensure smooth end-to-end processes, aligning procurement activities with the General Manager's operational plans and the Accounting Department's payment, budgeting, and reporting cycles.
- Ensure all procurement documentation, invoices, and contracts follow internal approval workflows and accounting controls.
Operational Support
- Oversee equipment purchases, maintenance contracts, and service providers.
- Ensure all products meet food safety, regulatory, and sustainability standards.
- Prepare procurement reports, cost analysis, and monthly updates for management.
Requirements
- Bachelor's degree in Supply Chain, Business, Hospitality Management, or related field.
- 3–5 years of procurement experience, ideally in F&B or café/restaurant chain and event management environment.
- Strong negotiation, contract management, and vendor relations skills.
- Understanding of food safety standards and sourcing fresh produce.
- Experience supporting operations across multi-branch environments is a plus.
- Excellent communication, analytical, and problem-solving abilities.
- Ability to multitask, work independently, and collaborate with cross-functional teams.
