Executive-Operation Support

Job Purpose:
To provide support for the operation division to ensure the effectiveness and completeness of operations administrative tasks and provide effectiveness and efficiency of Domestic Franchise.
Main Responsibilities:
Correspondence
- Process Operation memorandum
- Gather customer complain issues and inform Operations team
- Manage Hotmail and distribute to all concerns
- Ensure update of Area Coach's movement and store personnel movement
Operations Filing
- Complete and distribute related documentations to all franchise stores
- Prepare operation purchase order requisition for payment approval
- Prepare document for promotion fund or marketing support
- Prepare franchise contracts and related documents for new, relocation, refranchise, flips, and terminate stores
- Prepare legal documentation with existing template i.e. warning letter, termination letter
- Preparing site package for new and relocated stores
- Prepare documentations to financial institutions to support franchise loan application
- Maintain a good filing system for all legal documents and import to Oracle
- Registered mail tracking system for mailing legal documents
Operations Summary Reports
- Collect QSC, Cash return and Audit result and fill in the report once a month
- Collect monthly P&L from franchise stores
- Distribute monthly performance report to franchise owner
- Prepare Weekly, Monthly, Quarterly Meeting presentation for Business Consultant and Assistant Vice President-Domestic Franchise on a weekly, monthly, quarterly basis
Coordination Tasks
- Arrange meeting room and travelling for the Franchise team
- Arrange meeting room/hotel and travelling for regional meeting
- Reimburse expenses
- Coordinate with Operation to manage to all manuals i.e. Product manual, Operation manual, Franchise owner manual
- Responsible for completion and accuracy of Sales Management Sheet, Weekly Summary, QSC and Audit on a timely basis.
- Ensure accuracy of Meeting Minute and distribute to all concerns.
- PM and RM cost charge to franchise store
- Support Operations team by providing all information as needed
- Rental for Music Box and Song Licensing
- Perform secretarial jobs to assist the Franchise team
- Perform other duties as assigned by supervisors
Handle administrative tasks
- Update franchisee's contact information and franchisee's profile
- Keep records of customer complaint
Manage content and member of social media (Face Book, Franchise Club, Franchise Website, Line Group, Mailing Group) by updating content and member when new, refranchise, terminate, flips store.
Job Qualifications:
- At least Bachelor's Degree in any field
- Secretary or administrative assistant experience
- Good in English Communication and computer literacy
