Position: International undergraduate Head of Operations (Budget K)

Overview

The institution provides a variety of international undergraduate, master's, and doctoral degree programs across business, media, design, hospitality, engineering and more - all delivered in an international learning environment with global partners.

As Head of Operations, you will ensure that operational functions align with the institution's strategic objectives - supporting academic delivery, student services, administrative efficiency, facility management and stakeholder coordination.

Key Responsibilities

  1. Strategic Operational Leadership

  2. Develop, implement, and continuously improve operational policies, procedures, and systems supporting academic and administrative operations.

  3. Translate institutional strategy into operational plans (campus operations, administrative support, student services, facility management, academic scheduling logistics).
  4. Ensure compliance with relevant regulations, internal quality standards, and institutional guidelines.

  5. Academic Program Support & Coordination

  6. Oversee and coordinate all operational aspects supporting the institution's academic offerings (across business, design, media, hospitality, engineering, etc.).

  7. Manage scheduling and logistics for courses, classrooms/labs, events, workshops, internships, double-degree programs, collaborations with partner institutions.
  8. Coordinate with academic, administrative, and external stakeholders (faculty, international partners, industry partners, labs, guest speakers) to ensure seamless execution of curriculum and extra-curricular activities.

  9. Student Services & Experience Management

  10. Lead support services for international students: admissions-related operations, orientation, campus life, intercultural exchanges, student counseling, administrative support.

  11. Oversee internships/practical-learning placements, collaboration with industry partners or external organizations.
  12. Ensure high-quality student experience and support - including communication, administrative responsiveness, and operational support of campus facilities.

  13. Facilities, Infrastructure & Campus Operations Management

  14. Manage campus facilities: classrooms, labs (e.g. media, design, engineering labs), administrative offices, student common areas.

  15. Ensure smooth operation of campus infrastructure - maintenance, scheduling, safety, resource allocation, lab/equipment readiness for teaching and project work.
  16. Implement continuous improvements and operational efficiencies to support a dynamic, "hands-on and practical" learning environment.

  17. Collaboration & Partnerships Management

  18. Support coordination with external partners: global partner universities, industry collaborators, research institutions, internship employers, guest-lecturers, external events.

  19. Facilitate administrative and operational arrangements for double-degree programs, joint-degree offerings, exchange programs, and cross-border collaborations.

  20. Quality Assurance, Compliance & Continuous Improvement

  21. Establish, monitor, and report on key operational performance indicators (KPIs) - e.g. academic delivery quality, student satisfaction, facility utilization, administrative turnaround time.

  22. Ensure compliance with accreditation or regulatory requirements (if relevant), internal policies, safety / facility standards, and quality standards for labs, classrooms, student services, etc.
  23. Lead continuous improvement initiatives - process optimization, cost management, operational risk mitigation, facility upgrades, service enhancement.

  24. Team Leadership & Operational Capacity Building

  25. Build and lead an operations team: administrative staff, facility & maintenance staff, student services staff, scheduling coordinators, etc.

  26. Provide leadership, training, performance oversight, and capacity-building to ensure the operations team effectively supports institutional goals.
  27. Foster cross-department collaboration (academic, administrative, student services, external partners) to ensure unified, responsive operations.

Required Qualifications & Skills

  • Bachelor's degree (or higher) in Business Administration, Education Management, Operations Management, or relevant field. Master's degree preferred.
  • Significant operational leadership experience - ideally in higher education, international education, or institutions offering multiple programs/faculties.
  • Strong strategic thinking and ability to translate institutional strategy into efficient operational plans.
  • Excellent organizational, administrative, and project-management skills.
  • Strong communication and stakeholder management skills - experience working with academic staff, international partners, industry collaborators, and students (especially international).
  • Facility and resources management experience - able to oversee campus infrastructure, labs, classrooms, logistical operations.
  • Quality assurance mindset - adept at monitoring performance, ensuring compliance, continuous improvement.
  • Leadership & people management skills - able to build and manage an operations team; promote collaboration across departments.
  • Adaptability and flexibility - comfortable in a dynamic, multi-program, international education environment.
  • Cultural sensitivity and intercultural communication skills - given the international student mix and global partnerships.

Reporting & Structure

  • Reports to senior management / executive leadership of the institution (e.g. Dean / Director / President / Board as appropriate).
  • Works closely with academic leadership/faculty heads, administration and student services, facilities & maintenance, external partners, and other stakeholders.
  • Has oversight over operations team: administrative staff, facility management, student services support, scheduling/logistics personnel.
