Creative Operations Assistant

Job Summary
The Creative Operations Assistant is responsible for ensuring smooth day-to-day management of the MD's workflow and agency operations. This includes organizing schedules, coordinating communication across departments, preparing for decision-making meetings, and following through on actions to completion. The role supports internal efficiency, keeps external initiatives moving, and acts as the first point of contact for matters requiring the MD's attention. Ultimately, this position exists to amplify the MD's effectiveness and keep B&B running in rhythm across business, creative, and people fronts.
Duties & Responsibilities
Internal-facing
1. Operational Flow
- Track all key agency projects and flag those requiring MD input or approval.
- Filter requests for MD's time — ensure meetings have clear agendas and materials ready.
- Summarize discussions, capture next steps, and follow up until closed.
- Maintain a live view of priorities across business, people, and creative initiatives.
2. Communication & Alignment
- Act as the bridge between MD and department heads (Account, Creative, Strategy, and P&C).
- Maintain clarity on what's awaiting MD feedback, what's delegated, and what's blocked.
- Coordinate internal updates, announcements, and follow-throughs through Google Sheets, Slack, and Line.
3. Meeting & Decision Support
- Schedule, prep, and organize MD's internal and external meetings.
- Gather pre-reads, decks, and reports; ensure MD has full context before sessions.
- Take structured notes and distribute clear, actionable summaries after meetings.
- Record key decisions and track timelines via shared documentation systems.
4. Documentation & Systems
- Maintain MD trackers, calendars, and project sheets using Google Workspace tools.
- Streamline recurring processes — approvals, check-ins, and weekly updates.
- Build and maintain a reference archive of decks, SOPs, and key decisions.
External-facing
1. Social & Business Ops Liaison
Support MD-led social and business projects — ensuring timelines, agendas, and deliverables are in sync.
Ensure Social Team check-ins with MD are efficient and purposeful — topics pre-gathered, materials ready.
- Coordinate with external partners, vendors, or collaborators when projects involve cross-company or cultural initiatives (e.g., music venture, events).
2. Cross-Department Coordination
- Work closely with Finance and P&C on budget tracking, operational logistics, and reporting requirements.
- Facilitate communication between internal and external stakeholders to ensure smooth execution of leadership-driven projects.
- Represent the MD's office with professionalism and clarity in all correspondence.
Qualifications & Requirements
- 3-5 years of experience in operations, coordination, or executive assistance (preferably in a creative or fast-paced environment).
- Strong command of Google Workspace (Sheets, Docs, Slides, Calendar), Slack, and Line.
- Excellent written and verbal communication in both Thai and English.
- Organized, proactive, and calm under pressure.
- Emotionally intelligent, discreet, and skilled at balancing multiple priorities.
- Familiarity with creative or agency workflows is a strong plus.
