Key Responsibilities:

  • Actively coordinate, manage, and follow up on legal and sales-related documents, such as Master Service Agreement, Master Subscription Agreement, Non-Disclosure Agreement, Customer Registration Document, and Vendor Registration Document.
  • Ensure that all contracts are complete, accurate, and well-maintained.
  • Coordinate with internal and external stakeholders, managing schedules, filing important documents, and ensuring the timely delivery of relevant information and documents.
  • Handle the minute of meetings, follow-up items, memos, and credit notes efficiently.
  • Support team operational requests, including resource requests and system approvals.
  • Assist in tracking and managing operational workflows to ensure smooth and efficient execution of business processes.
  • Support in sales data management, such as lead creation and the management of opportunities for specific products (e.g., G-Suite).
  • Assist in the management of sales-related processes, ensuring that data is accurately entered and updated in the system.
  • Actively track and follow up on activities related to license acceptance and collection, ensuring timely and accurate completion.
  • Monitor and report on the progress of license-related activities, coordinating with the necessary parties for follow-up.
  • Provide administrative assistance to the CEO , including managing correspondence, preparing reports, and organizing meetings.
  • Ensure that the CEO is well-supported in day-to-day operations and decision-making.
  • Perform other duties as assigned to ensure smooth business operations and effective team collaboration.
  • Act as a liaison for communication between departments and external partners, ensuring timely resolution of issues.

Qualifications:

  • Bachelor's degree in Business Administration or a related field.
  • Experience in an executive assistant or coordination role.
  • Experience in handling legal documents and related paperwork is a plus.
  • Ability to organize and maintain documents accurately and comprehensively.
  • Skill in managing and following up on sales and legal documents.
  • Ability to coordinate effectively with different departments and external clients/partners.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and other document management software.
  • Ability to analyze data and issues, providing efficient solutions.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Ability to work under pressure and adapt to changing environments.
