Position: Executive Assistant

Job Responsibilities:

  • Serve as the primary support to the executive team, handling day-to-day administrative tasks, calendar management, travel arrangements, and coordination of ongoing projects.
  • Plan and organize internal and external meetings, including scheduling, sending reminders, preparing meeting materials, taking minutes, and arranging catering when required.
  • Prepare meeting rooms and coordinate closely with executives, staff, and relevant departments to ensure smooth and efficient meeting operations.
  • Follow up on assigned tasks, outstanding issues, and ensure timely completion by coordinating with responsible parties.
  • Perform additional duties and responsibilities assigned by the management.
  • Handle urgent and ad-hoc tasks with professionalism and efficiency.
  • (Fintech-related) Collaborate with cross-functional teams such as Product, Tech, Compliance, and external partners in the fintech ecosystem.
  • Coordinate with banks, payment partners, or Visa (or similar financial institutions) as part of operational or project-related activities.
  • Support executive and business development initiatives, including coordinating with external partners, vendors, and stakeholders, preparing proposals, decks, or required documentation as needed.

Qualifications:

  • Bachelor's degree in Business Administration or a related field.
  • At least 1–2 years of experience as an Executive Assistant, Personal Assistant, or Secretary.
  • Experience in Business Development or working closely with executive stakeholders will be considered a strong advantage.
  • Experience in fintech, tech, or startup environments is highly preferred.
  • Experience in coordinating with banks, financial partners, or Visa is highly preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively and manage multiple assignments.
  • Able to work well under pressure and make quick decisions in urgent or unexpected situations.
  • Highly responsible and able to maintain strict confidentiality of sensitive information.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Strong communication and coordination skills with a proactive, service-minded attitude.
  • Good command of English, both written and spoken, will be considered a significant advantage.
  • Chinese language proficiency will be considered a strong plus.
