Purpose of the role
The role of tour administrator of reservations is a crucial link between our overseas partner and our suppliers. In this role you will be taking care of the complete reservation process including starting from receiving requests from travel agents abroad, prepare offers and quotations, timely follow-up and booking of all services with our branch offices, hotels and suppliers in Thailand. You are also responsible to issue vouchers to hotels and other suppliers as well as the invoicing process and payment collection. You will be joining our dynamic European market colleagues.
Key Responsibilities / Job Description
• Responsible for communication with the overseas travel agencies and tour operators
• Preparation of itineraries and quotations
• Sending reservation requests to hotels and land service providers in Thailand
• Follow up on sent over programs.
• Ensuring that all relevant data is uploaded in Asian Trails' Reservation system LEMAX, including but not limited to reservations as well as quotations
• Coordination with the operation department with our offices in booking land services
• Follow up payment with overseas B2B partners.
• General administration tasks
• Work closely with colleagues from other departments and offices within the Asian Trails Group
• Build a strong understanding of online business and bookings through Asian Trails' online platform eConnect
• Fully understand the range of sustainable products available and encourage clients to include relevant ones within their programs.
• Invite agents to take part in our Refillable Water Bottle and Carbon Offsetting initiatives.
• Other duties and special projects as assigned.
Qualifications / Desired experience
· Good command of English both verbal and written
· years' experience in a travel & tourism company
· Specific destination knowledge in Thailand and/or Southeast Asia
· Experience with FIT and GIT/series bookings of advantage
· Experience with LEMAX software is of advantage
· Good command of Microsoft Office applications (Excel, Word, etc)
· Able to work under pressure, meet tight deadlines and work flexible hours during peak season.
· A "Can Do" attitude and positive thinking that includes creative thinking is an asset.
