Role accountabilities to include, but not limited to:

• Guest Reception: Greet, welcome, and assist clients, VIPs, and visitors, providing them with the necessary information and support.

• Reception & Office Management: Maintain a clean, organized, and welcoming reception area that fosters a positive environment for employees and visitors.

• Meeting Room Management: Utilize a space booking system to efficiently schedule and manage meeting rooms, ensuring availability and avoiding conflicts.

• Room Monitoring & Reporting: Monitor meeting room usage, address any issues that arise, and generate reports summarizing room utilization.

• Office Maintenance: Coordinate with cleaning staff to ensure the office space is well-maintained and prepared for daily activities and special events.

• Hakuhodo Destination Coordination: Act as the point of contact for arranging and coordinating the setup of the Hakuhodo Destination space for various purposes (training sessions, company meetings, parties). This may involve coordinating with relevant personnel from various departments.

• IT Setup (Basic): Prepare basic IT equipment for use in the meeting rooms within the Hakuhodo Destination space.

Qualifications :

  • 0-1 year of experience in a receptionist role.
  • Excellent communication and interpersonal skills in English (conversational level).
  • Strong organizational and time management skills.
  • Ability to prioritize and multi-task effectively.
  • Proficient in using a computer and relevant software (e.g., space booking system).
  • Detail-oriented with a focus on accuracy and professional appearance.
  • Experience coordinating meeting room usage (preferred)
  • Familiarity with office layout and equipment (Hakuhodo Destination)
  • Ability to learn and adapt to client needs
