Key Responsibilities:
Administration Assistant (Music Department) reports directly to the Director of Business Services and is responsible for the administrative support services in the school. Core duties include:
- Working closely with and providing assistance to the Director of Music.
- Answering incoming calls and routing them efficiently and accurately to the appropriate areas.
- Assisting with enquiries and concerns from staff and parents in a timely and professional manner. Supporting routine administrative tasks, including updating databases and taking registers.
- Coordinating with Music Department staff on daily tasks, projects, lessons, and performances.
- Arranging individual music lesson schedules for students.
- Communicating with students and parents regarding matters related to music lessons.
- Assisting in the planning, promotion, and coordination of showcases, recitals, concerts, and music events.
- Supporting audience management and logistics for recitals, concerts, and other department events.
- Assisting with ad-hoc tasks in the administrative office and supporting special school events (e.g. Speech Day, concerts, recitals, showcases, FOBISIA events hosted by the school, Last Night of the Proms, etc.).
- Maintaining a professional and welcoming appearance of reception and waiting areas within the Music Department, and helping ensure parents and visitors follow department policies.
Shared Responsibilities with the Customer Services Team:
Administration Assistant (Music Department) works as part of a team of staff providing the customer service function of the school. The Customer Services team comprises the administration, secretarial, reception, and public relations function of the school. The responsibilities and tasks fall upon the team will be discharged effectively through
- Adopting a close working relationship between each member of staff of the team and with the line manager.
- Prioritizing and organizing duties and responsibilities on a day-to-day basis to ensure an equitable division of workload between each member of staff of the team, a proper and timely completion of tasks including coping with absences of staff and short-term increases in workloads.
- Sharing knowledge, information and expertise in order that each member of staff of the team is able to effectively carry out any responsibility that falls upon the team.

- Promote a favorable impression of the School at all times;
- Undertake duties and responsibilities in accordance with the School's policies and procedures.
