The** Senior Executive Coordinator (SEC)**provides high-level strategic and operational support to the Executive Director (ED) of Greenpeace Southeast Asia (GPSEA), ensuring seamless coordination across governance, planning, and organizational development. This role plays a critical function in aligning the ED’s office with GPSEA’s strategic objectives by managing key initiatives such as the 3-Year Strategic Plan (3YSP), Board governance, and cross-departmental collaboration. The SEC serves as a trusted advisor and liaison between the ED, Senior Management Team (SMT), Regional and National Boards, and internal and external stakeholders, facilitating decision-making processes, monitoring implementation of priorities, and enhancing organizational effectiveness through structured systems, communication, and high-level administrative support.
**Duties and Responsibilities**:
- Coordinate the planning, implementation and monitoring of GPSEA’s 3YSP, as well as annual Organizational Development Plan (ODP) to continually guide the organization to achieve its’ strategic goals and timelines.
- Monitor, recommend and implement improvement initiatives in the Board of Directors (BOD) governance via a mix of measures such as risk assessments, compliance audits, external benchmarking, document review and revision, key performance metric management, training and communication.
- Advise Senior Management Team (SMT) on opportunities, risks and new technologies to improve the design and effectiveness of the strategic planning, monitoring process and system for national & regional BOD governance.
- Assist in managing projects and conducting research for the Executive Director (ED), preparing reports, presentations & briefs.
- As and when necessary, lead and manage projects assigned by the ED, which may involve participation from other departments.
- Responsible for coordination the close collaboration between the GPSEA SMT with the Regional and National Boards in ensuring legal registration and related legal compliance in the countries GPSEA operates within.
- Assist the ED in executing and improving GPSEA’s management systems and programs primarily in the areas of budget planning and oversight, preparation of annual and monthly work plans, consolidation of intermediate and strategic development plans, the monitoring and evaluation of programs, and the preparation of the organization’s monthly, quarterly and annual reports.
- Provide high-level administrative support to the ED, including handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
- Develop and maintain filing and retrieval systems, recording meeting minutes and ensuring the ED’s office operates efficiently.
- Arrange domestic and international travel for the Executive Director, including itineraries, accommodations, and logistics.
- Work closely with and initiate communication channels with all relevant units within GPSEA and other Greenpeace entities (Greenpeace International and other NROs) in the development, formulation, monitoring, and tracking of GPSEA’s overall organizational strategy, its goals and objectives.
- Help to improve the communication and coordination lines within the SMT and the GPSEA Board; and play an active role in the implementation of internal communication initiatives within GPSEA.
- Work closely with internal teams to coordinate activities, events, and meetings involving the ED.
- Build effective networks and sustain key relationships and communication with all stakeholders, in relation to BOD governance, GPSEA 3YP and annual ODP strategy development.
- Coordinate and build awareness of issues related to strategy and planning of BOD governance and act as a focal contact for GPSEA ED Office.
- Serve as the ED’s liaison to GPSEA Board and SMT, organizing agenda and logistics for meetings, recording minutes, and cascade to Board and SMT on follow-up actions required for decisions and agreements taken in the meetings.
- Serve as the liaison between the Executive Director and all internal / external stakeholders.
- Support the ED in preparing talking points, speech notes, or background documents for meetings and public engagements.
- Manage the ED’s calendar, including scheduling appointments, prioritizing meetings, and resolving scheduling conflicts.
- Ensure timely submission of documents and required reports on behalf of the ED.
- Coordinate and monitor ED’s deliverables and ensure deadlines and priorities are followed up.
- Help ED to build credible strategy, planning processes and systems through the delivery of initiatives that address the needs of GPSEA, the national and regional BOD’s and GPI.
