Department Secretary

Our client is a global leader in consumer products manufacturing.
**Main Responsibilities**:
- Handling secretarial and administrative support.
- Filing and maintaining customers’ databases.
- Preparing travel and general expenses report for the directors using Concur software tool.
- Creating purchasing requisitions for the departments using SAP & Ariba working tools.
- Managing meeting arrangements e.g. reserving and setting up the meeting room, preparing coffee breaks and lunch, and other requirements relating to the meeting.
- Managing and coordinating workshops for internal and external stakeholders.
- Backing up for Receptionist, if required
- Taking care of mobile and relocation of Expats within the department.
- Member of the secretary team and support Senior Assistant.
- Coordinating big customer events.
- Coordinating big internal meetings and seminars.
- Planning and managing special occasion events for staff.
**Qualifications / Screening Criteria**:
- At least 4 years experience in a secretary job in multi-international companies.
- Experience with the Department secretaries is an advantage.
- An excellent ability to perform in a cross-cultural, cross-functional team and interdependent environment.
- Good English communication skills, both verbal and written.
- Well-organized and self-motivated.
- Result oriented.
- An eye for detail with the ability to retain a broad overview.
- Flexible, able to work under pressure and to strict deadlines.
- Flexible working hours.
