**PURPOSE OF THE POSITION**:
The incumbent shall support the Country Manager and office administration of Thailand in the day to day running of the organization.
**ESSENTIAL JOB FUNCTIONS**:
**Office Administration**:
- Coordinates the receipt, storage and issuance of stationery and office supplies; oversees periodic inventories and reorders items as required.
- Arranges business travels including flights, transportation, and accommodation for local and regional employees.
- Manages and coordinates onboarding of new hires and offboarding of employees.
- Coordinates with health insurance company for staff claim record.
- Acts as the first point of contact for office facilities issues, and logs all maintenance, cleaning and office services and refers related issues to the appropriate personnel as well as the contact person for Information Technology (IT) related requests and enquiries.
- Summarize weekly and monthly office expenses to finance department for vendor payment.
- Manages service contract for vendor and suppliers and ensure cost effectiveness and efficiency of service.
- Oversees opening, sorting and routing of incoming and makes preparations for outgoing. correspondence, post, mail and packages; organizes special mailings.
- Maintains effective filing systems.
- Screens incoming calls and visitors.
- Ensures compliance within company policy and procedures.
- Other duties as directed by Country Manager.
**Sales and Marketing Administration**:
- Processes purchasing of marketing materials, sourcing, and coordinate with local vendor for marketing materials required by sales function.
- Coordinate sales and marketing events including sourcing venues, transporting materials to venues, and catering when needed.
- Provide list of product and marketing materials as required from sales function for workshops.
- Ensure marketing materials are in good condition and within sufficient stock supply.
**Tender Coordination**:
- Preparation of supporting documents for sales rep and submission for e-bidding in timely manner.
- Manage customer contract filing system in order to facilitate ease of submission when similar tenders become available.
BASIC QUALIFICATIONS
**Education**:
- Diploma education in Business Administration or equivalent
**Requirements**:
- 5 years of relevant work experience in office operations
- Good verbal and written communication skills in English and Thai
- Meticulous, responsible, independent and customer oriented
- Excellent communication skills
- Team oriented
- Competent in MS Office
