You will be responsible for customer service to deliver finished goods to customer. You will need to be hands-on with experience in customer service functions.
**Key Responsibilities**
**Order taking and order confirmation**
- Follow up order with customer and salesperson and proceed into system, ensure product, QTY, delivery schedule, customer description are correct.
- Ensure selling price in sales order is correct following the latest selling price which is provide by salesperson.
- Follow up with production planner/production team to fulfil customer delivery requirement on-time-in-full and negotiate with internal team to meet customer delivery requirements.
- Small Production approval request to Sales GM and PD planner if total order is less than 30% of batch size.
- Allocate stock sharing among customers if stock is not enough or capacity is limited.
- Negotiate with customer for delivery requirement.
- Ensure customer requirement are communicate with internal team.
- Override price for sales order, get approval and keep record in share folder as specified by Finance Dept.
**Delivery planning and monitoring**
- Prepare a daily delivery plan and laise to logistics team, 3rd parties' warehouse and transporter.
- Follow up with production to provide a new batch production will be ready in time for a delivery.
- A sample readiness follow up with Technical team to ensure physical stock, stock in system will be ready in time.
- Communicate with Logistic/Warehouse/Transporter according to customer delivery condition request.
- Ensure delivery is FIFO batch number according to PPG policy and customer requirements.
- Administrate delivery document such as Delivery Docket, Invoice, COA, and temporary DO. Follow customer’s instruction for document request for each delivery. And comply with PPG policy at the same time.
- Work with salesperson and PPG Finance dept in advance, to settle a case of overdue payment or over credit limit in time to limit the impact of a delivery.
- Coordinate and get approval with an authorized person for goods pick up at Bangplee plant/3rd parties WH outside working hours.
- Coordinate for product labeling case by case.
- Ensure OTIF is measure correctly at the process of deliver docket issuing in the system.
**Goods return and credit note**
- Coordinate with salesperson, customer, transporter and internal team for goods return.
- Ensure a package of goods return is proper following EHS requirement.
- Ensure goods return is approved by authorized person before proceeding a return.
- Proceed Credit Note / Debit Note in Service now and Oracle following WI.
- Issue PR according to salesperson request, e.g. for PFG.
**Quality and EHS Management**
- Ensure that all business processes comply quality management of ISO9001:2000, EHS management of ISO 14000 and TIS/OHSAS18001.
- Manage 5S to meet a target monthly basis.
**Core Responsibilities**
- Order receiving and compare with forecasting, inform internal team if demand is difference from forecasting
- Delivery plan with delivery documents, ensure delivery is on time and correct.
- Manage inventory balance, ensure inventory is managed to sale before expired.
**Qualifications**
- 2 years minimum working experience in the Customer service area from manufacturing field
- The incumbent should be bachelor’s degree.
- The incumbent must have strong communication skills, service skill, negotiation skill.
- Able to communicate basic English in order to coordinate with oversea PPG share service teams.
- ISO9001 & ISO14001 basic knowledge.
- Microsoft Excel, Outlook, Word and PowerPoint
