HIRING OF STAFF FOR ADMIN & PROTOCOL TEAM

The Embassy of the Republic of Singapore in Bangkok is looking to hire a full-time Assistant Admin & Protocol Officer. For this position, your main duties and responsibilities would include but not be limited to the following:

Organising and executing official events

· Assist in organising the National Day Reception and other events organised by the Embassy.

· Handle protocol and logistics matters such as arranging hotels and transportation for official delegations and VVIPs, and receiving and sending off delegations at airports (airport duties).

· Liaise with relevant Thai authorities such as the Ministry of Foreign Affairs, Airport Authority of Thailand and other Thai agencies and companies such as airlines, hotels and restaurants.

Administrative and event support for Home-Based Staff (HBS)

· Assist in managing official meetings and appointments for Home-Based Staff (HBS) which includes making reservations with hotels, travel agents, restaurants.

· Maintain and monitor usage of the Embassy's Visitor Rooms.

· Assist in managing the usage of the Embassy's official vehicles, including supervising and tracking the updating of the vehicle maintenance books.

· Assist with procurement of liquor and wine for official use, as required.

· Assist incoming and outgoing HBS with relocation matters such as registration, shipment.

Translation and media monitoring duties

· Perform translation of official announcements, reports and letters from Thai to English and vice-versa.

· Perform interpretation for HBS during meetings with the Thai authorities.

Administrative duties

· Prepare documents related to the functions and operations of the Embassy, including official notes and letters.

· Assist with administrative and coordination duties related to the Singapore Cooperation Programme and ASEAN Scholarship programme such as contacting the relevant parties and making travel arrangements.

· Disseminate official letters and faxes received by the Embassy to the HBS.

· Cover the duties of the Telephone Operator/Receptionist, as required.

· Remain contactable after office hours for ad-hoc official announcements and other local developments which may impact visit/event arrangements.

To fulfil the above job responsibilities, you would need to possess the following qualities:

· Excellent command of written and spoken English and Thai

· Finesse in handling and managing different vendors and points of contact

· Ability to work well under pressure and possess a positive attitude

· Ability to work after office hours and on weekends, where necessary

· Proficiency in Microsoft Word and Excel

· Confident and possess good communication skills

· Bachelor's degree

· Fresh graduates are welcome to apply, but candidates with at least 1 – 2 years of relevant working experience are preferred
