REPORTS TO: Head of Logistics & Distribution

Roles and Responsibilities are not limited to:

Inventory Management

  • Perform reconciliation of BOL reconciliation against SAP sales. Highlight variances and ensure investigation conducted. Reconcile daily lifting from supply sales customers. Submit monthly Excise documentation and reports.

  • Stock monitoring: Tracking inventory levels and coordinating with related parties.

Delivery Operations

  • Ensure all dispatching have no fraud case cause from terminal and sales office.
  • Provide SAP delivery due list of customers' orders received from the customer service center and pass to hauler Scheduler to prepare delivery schedule. Coordinate with hauler scheduler to optimized resources for dispatch of fuel products. Generate Delivery Note, performed shipment planning, goods receipt and generating invoices for schedule orders to Sales team and own collections customers. Allocate tank truck security seal for each delivery note to Sales team. Control the seals issuance, inventory control and replenishment of seals.
  • Organize the Delivery Note according to trip/delivery window as indicated in the delivery schedule. Hand over the delivery note to the drivers for loading operations.
  • Monitor the daily schedule to make sure all planned deliveries are executed timely.
  • Coordinate and communicate with Terminals, Haulers, and internal parties on fuels delivery related issues that may arise to ensure safety and reliability of the fleet operations.
  • Take immediate action to mitigate failed delivery. Ensure delivery rules are met.
  • Planning and scheduling the delivery of fuels to Terminal.
  • Preparing excise tax reports.

Compliances and Others

  • Execute the office operational competitiveness by maintaining the high service level of shipment to customers with safe, reliability and efficiency.
  • Provide coaching and supervision to drivers in using kiosk machines.
  • Provide administrative and analytical support to Leadership by consolidating operations data.
  • Ensure report, Delivery Notes and all related sales office documents are filled and kept in accordance with records retention policy.
  • Review Stock Reconciliation Report, Daily Delivery, Cancellation report.
  • Support SOX testing and ensure internal controls is effective.
  • Maintain compliance register required for the operations of the terminals. Ensure timely renewal of licenses and payment as required by Government Ministry and Local Town Council.
  • Facility Management: Ensuring all equipment is functioning properly.

Qualifications and Requirements:

  • Bachelor's degree in accounting, business administration, or related operational fields with some years working experiences
  • Familiarity with terminal operations is a plus
  • Good communication skills
  • Good Microsoft literacy in Ms. Outlook, Words, Excel
  • Good team player, Innovative and data-driven decision maker
  • Able to work independently and under pressure
  • Able to work in shifts
