Key Responsibilities

1. Administrative & Executive Support

  • Provide comprehensive administrative support to the Executive Assistant to the MD to ensure all executive office needs are met efficiently.
  • Assist in managing the MD's complex calendar, including scheduling internal/external meetings, booking venues, and coordinating all logistics.
  • Prepare and process expense reports, purchase orders, and other administrative documents with high accuracy.
  • Handle all travel arrangements (both domestic and international), including flights, accommodation, and itineraries.
  • Organize and maintain the office's digital and physical filing systems, ensuring all confidential documents are managed with discretion.
  • Assist in preparing materials for key meetings, including drafting agendas, compiling reports, and preparing presentation slides.

2. Business Development & Research Support

  • Conduct preliminary research on potential clients, market trends, industry competitors, and new business opportunities as directed by the EA.
  • Monitor industry news, publications, and events to identify relevant insights.
  • Assist the EA in tracking and preparing submissions for industry awards and recognition.
  • Help prepare and format pitch decks, proposals, and other business development documents.

3. Coordination & Communication

  • Act as a secondary point of contact for the MD's office, screening and directing internal and external communications with professionalism.
  • Assist in coordinating special projects, team off-sites, and company-wide events managed by the MD's office.
  • Support the EA in following up on action items from management meetings to ensure timely completion.

Qualifications & Skills

Required:

  • Experience: 1-3 years of experience in an administrative, team assistant, or coordinator role, preferably in a fast-paced environment.
  • Organizational Skills: Exceptional organizational and time-management skills, with a proven ability to manage multiple priorities and meet tight deadlines.
  • Attention to Detail: Impeccable attention to detail and accuracy in all tasks, from scheduling to document preparation.
  • Communication: Excellent verbal and written communication skills in both English and Thai.
  • Mindset: A proactive, resourceful, and "can-do" attitude. Must be a self-starter who can anticipate needs and solve problems independently.
  • Professionalism: The ability to handle highly confidential information with the utmost discretion and professionalism.
  • High proficiency in Google Workspace (Gmail, Calendar, Drive, Slides). Must have a foundational understanding and ability to utilize basic AI tools (e.g., ChatGPT, Gemini, etc.) to enhance productivity and research.
