Assistant Construction Services Manager

Summary of Key Responsibilities

Responsibilities and essential job functions include but are not limited to the following:

Overseas Procurement Management

• Coordinates with the Asia Pacific Supply Chain  team to review and order furniture, make sure the right SKU, item description and quantity.
• To ask all complete document from agent such as invoice, packing list, form D/ to declare customs clearances on time.
• Track and monitor all shipment numbers of furniture and equipment, ETA date and customer clearance to ensure that the deliverable date is in the right time.

Local Multi-Item Demand Forecast

• Making an inventory forecast that depends on the number of new and renovated store openings and making a monthly report for management review.
• To buffer stock in case of emergency shortages and be capable of developing range plans to meet store requirements; to review and follow up the product production plans and confirm good supply to the warehouse on time.
• Local source and procurement management, analyze and compare the cost to direct the purchase of an item for local items as assigned, and negotiate for a special discount.
• To select and monitor vendors for price quotations in compliance with team policies.

Administrative support and Coordinates activities

• Provides administrative support to project manager. Serves as a primary point of contact for the business unit or department and work with other partners to exchange information.
• Coordinates or participates in all phases of the project cycle, including planning, implementation, and documentation.
• Coordinates and supports on all construction bidding activities, including bidding invitation, announce on bidding result, and preparation of construction agreement.
• Support construction team on financial documents, prepare supplier invoices for management review and sign off, and coordinate the billing process with the finance team.
• Organizes and completes complex administrative projects including ordering document support, price checked, ordering local materials and equipment with suitable target of site deliverable date.
• Issue Purchase Requisitions (PRs) and Purchase Orders (POs) for all quotations related to the project.
• Manage the schedule to allocate the equipment and furniture from warehouse to specific stores and make sure that all items are delivered at the right quantity and right time.
• Track on progress of task below and report to team during weekly construction meeting.

o   Defect list after the store has opened for 30 days

o   Progress of defect list 1year warranty before handing it over to the Facilities Team.

o   PM Air, pipe cleaning and monitoring the work of the project leader.

o   As built drawing with project leader.

SKU Master (Siren and IMS system)

• To add new SKU and product name when having new item in IMS system.
• To specify and classify vendor, item description, packaging, product category.
• To add cost of each SKU after getting actual cost from suppliers.
• Decision Making & Risk Management: Decisions require the ability to examine problems or issues in new ways and apply guidelines, processes and practices creatively.

Summary of Experience

• 5 years of working experience in project management and administrative in a fast

Education

• Bachelor's degree in business
• Master's Degree is preferred
