Executive Secretary to Company Executive

Key Responsibilities:
1. Executive Support
- Manage and maintain the Company Executive's calendar, appointments, and travel arrangements (local and overseas).
- Screen, prioritize, and respond to correspondence and phone calls on behalf of the executive.
- Prepare meeting agendas, minutes, presentations, and other business documents as required.
- Coordinate internal and external meetings, including logistics and materials preparation.
- Act as the first point of contact between the executive and internal/external stakeholders.
2. Office & Communication Management
- Draft, review, and manage confidential letters, memos, and reports.
- Ensure smooth information flow and follow-up on pending matters.
- Liaise with other departments and external partners to ensure timely communication and task completion.
3. Project & Task Coordination
- Support the executive in project tracking, data collection, and progress reporting.
- Assist in preparing business reviews, presentations, and analysis documents.
- Coordinate with cross-functional teams on initiatives as assigned by the executive.
4. Administrative Duties
- Handle expense claims, purchase requests, and other administrative documents.
- Maintain an organized filing system for both physical and digital records.
- Manage office supplies and assist with event coordination when needed.
- Utilize AI tools and generators to support PA tasks, such as taking notes, summarizing meetings, drafting follow-ups, and organizing action items.
Qualifications:
- Bachelor's degree in Business Administration, Management, or related field.
- Minimum 5 years of experience as an Executive Secretary, Personal Assistant, or similar role supporting senior management.
- Excellent command of English and Thai (both written and spoken).
- Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Experience in using AI tools to enhance productivity and support administrative tasks.
- Exceptional organizational skills, attention to detail, and time management.
- Ability to handle confidential information with discretion.
- Strong interpersonal and communication skills with a professional demeanor.
