Job Title: Executive Assistant

Location: Sukhumvit Soi 20, Bangkok

Working Hours: 8:00 AM – 5:00 PM, 6 days per week


Position Overview

This is a full-time, on-site Executive Assistant role based in Bangkok. The position reports directly to the Founder and provides comprehensive executive, secretarial, and administrative support, including managing schedules, preparing expense reports, coordinating executive-level tasks, and streamlining internal and external communications. The role requires close coordination across departments to support leadership priorities, maintain operational efficiency, and ensure smooth day-to-day business operations. Exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities in a dynamic environment are essential.


General Responsibilities

  • Provide executive, secretarial, and administrative support to the Founder.
  • Prepare, type, format, edit, and proofread reports, documents, presentations, and official correspondence.
  • Accurately enter data, maintain internal databases, and ensure proper record-keeping and filing systems.
  • Coordinate and liaise with internal departments to ensure smooth day-to-day operations.
  • Manage incoming calls, emails, and other communications, responding appropriately or redirecting as required.
  • Handle internal and external correspondence on behalf of the Founder with professionalism and confidentiality.
  • Manage calendars, schedule appointments and meetings, maintain an events calendar, and issue reminders.
  • Coordinate travel arrangements and logistics when required.
  • Oversee office administration, including ordering office supplies and managing medicine and medical supply inventory.
  • Provide administrative support for HR functions, including staff records, onboarding documentation, and leave tracking.
  • Coordinate and schedule monthly salary payments, and staff compensation in accordance with approved payroll schedules.
  • Prepare, track, and follow up on payments for vendors, consultants, and part-time medical staff.
  • Ensure payroll and payment-related documentation is accurate, complete, and submitted in a timely manner.
  • Liaise with management, HR, and accounting to support smooth and compliant payroll and payment processes.

Qualifications

  • Fluency in both English and Thai (spoken and written).
  • Knowledge of, or strong interest in, health and wellness.
  • Proven experience in an administrative, customer service, executive assistant, or personal assistant role.
  • Strong proficiency in Microsoft Office, particularly Excel.
  • Excellent communication, coordination, and interpersonal skills.
  • Highly organized, with the ability to prioritize tasks and manage multiple responsibilities effectively.
  • Reliable, detail-oriented, and able to maintain patience and professionalism in a fast-paced environment.
  • Strong service mindset with a high level of integrity and discretion.
