Executive Support

  • Manage and maintain the Executive's calendar, scheduling meetings and appointments, and ensuring optimal use of time.
  • Act as the first point of contact, screening and prioritizing calls, messages, and correspondence.
  • Draft, edit, translate, and proofread correspondence, reports, and presentations in both Thai and English.
  • Handle confidential and sensitive information with discretion and professionalism.

Communication & Coordination

  • Read, analyze, and prioritize incoming correspondence, responding where appropriate and flagging urgent matters.
  • Prepare agendas, briefing notes, and talking points for the Executive's meetings and events.
  • Coordinate and liaise with internal teams and external partners to ensure timely follow-up and information flow.
  • Translate and interpret during meetings or in communications where required.
  • Facilitate smooth information flow by relaying directives, goals, and feedback clearly.
  • Build trusted relationships with internal and external stakeholders.

Meetings & Events

  • Organize and facilitate executive-level meetings: set agendas, prepare briefing packs, and ensure follow-up of action items.
  • Accompany the Executive to selected events (domestic and international), ensuring proper preparation and representation.
  • Schedule, organize, and make arrangements for meetings, ensuring necessary materials are prepared in advance.
  • Attend meetings, take accurate minutes, and track action items for follow-up.
  • Support the planning and coordination of events, conferences, and executive engagements.
  • Ensure the Executive is fully briefed and prepared ahead of all commitments.

Travel & Logistics

  • Arrange all domestic and international travel, including flights, visas, accommodations, and ground transportation.
  • Prepare comprehensive travel packs with itineraries, contact lists, and required documentation.
  • Anticipate and manage last-minute changes, cancellations, or disruptions to travel plans.

Performance Measures

  • Accuracy and timeliness of scheduling, communications, and meeting preparation.
  • Positive feedback from the Executive and stakeholders on quality of support.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Responsiveness and reliability in managing priorities and urgent issues.
  • Professionalism in both Thai and English written and verbal communications.

Project Management & Implementation

  • Oversee and monitor projects assigned by the CCSO, ensuring timelines and deliverables are met.
  • Track the implementation and performance of launched projects, providing regular updates.
  • Proactively address risks and roadblocks, offering solutions to support decision-making.

Team Leadership & Development

  • Support, coach, and mentor staff in the CCSO's office or project teams to drive efficiency.
  • Foster a collaborative, high-performance working environment.

Operational Oversight

  • Oversee selected day-to-day operations (budgets, resources, and reporting).
  • Ensure policies and processes are followed to maintain smooth operations.

Crisis Management & Problem Solving

  • Assist the CCSO and teams in navigating crises and complex challenges.
  • Provide quick analysis, coordinate response efforts, and support post-crisis reviews.

Job Specification: Personal Assistant to Executive

Qualifications & Education

  • Bachelor's degree in business administration, Communications, Languages, or a related field preferred.
  • Professional training in administration, secretarial work, or office management is an advantage.

Experience

  • Minimum 3–5 years' experience in a Personal Assistant, Executive Assistant, or comparable support role.
  • Proven experience working with senior executives in fast-paced, professional environments.
  • Prior experience in multinational or bilingual settings is highly desirable.
