DUTIES AND RESPONSIBILITIES:

  • Maintains executive's calendar by setting, monitoring, and confirming appointments; reminding executive of schedules; prepare for visitors; developing itineraries.
  • Protects supervisor's time by screening, researching, and managing correspondence, messages, telephone calls, and visitors; preventing interruptions; resolving issues.
  • Anticipates assistance needed by identifying problems, needs, options, and solutions before being asked.
  • Handle business and personal errands from simple to complex.
  • Provides secretarial services by drafting correspondence; transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics; establishing and maintaining files and records; collecting and analyzing information; preparing reports.
  • Organizing dinners and events.
  • Maintains supervisor's privacy by keeping information confidential.
  • Arranges activities and services by identifying and clarifying needs and desires; researching options; making reservations for dining, travel, lodging, entertainment, rentals, events, couriers, medical services; scheduling meetings, luncheons and conferences and arranging all logistics; running errands; shopping for necessities and gifts.
  • Take ownership in accomplishing new and different projects; exploring opportunities to add value to job accomplishments.
  • Maintain punctuality and dependability.
  • Other special projects or duties assigned.
  • Carry out assigned data entry/review/approval tasks in accordance with the Procure-to-Pay approval matrix.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Fluent in English language
  • Proficient in relevant office software (i.e. Microsoft Office)
  • Strong presentation and communication skills
  • Knowledge and experience in project management

EDUCATION AND EXPERIENCE:

  • Bachelor degree in Business or related field
  • 5+ years of progressively responsible experience in providing secretarial services
