Facilities Administrative Coordinator

**Job Summary**:
The purpose of this position is to provide assistance to Facility Management in completion of multiple functions of campus operations and maintenance for the campus and the portfolio of buildings on site. Managing projects as assigned and managing support staff as assigned. Assist with coordination with all other groups (Admissions, Purchasing, Property, Security, Projects/construction, External organizations including BMA, Yotha, OPEC, MOE, local district office and etc.) with a strong focus on the NIST Master Plan.
**Responsibilities**:
- Maintains and updates all permits, licenses, and critical documentation related to school operations, building functions, and regulatory compliance.
- Manages and organize architectural drawings, building plans, and technical documentation, ensuring they are properly files and readily accessible.
- Risk register, taking overall ownership of the administration of the register. Ensuring it is updated and coordinating with those associated with inputting risk data.
- Manages vendor relationships, coordinating with the Purchasing Department
- Assist in the negotiation and approval of contracts/agreements with vendors as requested
- Reviewing projects for correct documents, criteria and information.
- Ensuring all campus development and project documents are archived.
- Assists in overseeing the facilities for building enhancements.
- Ensures site complies with all BMA and National requirements for Building Codes and EH&S.
- Assist with the site's safety and environmental compliance.
- Performs facilities inspections and prepares reports.
- May coordinate, manage, add and change activities.
- Other duties may be assigned.
**Additional Responsibilities**:

- Abide by the Code of Conduct
- Be vigilant
- Prevent abuse/protect children
- Report concerns (mandatory duty)
- Challenge poor practice/promote good practice
**Qualification**:
- Bachelor’s degree in any related field (BS in Facility Management or Business Administration is preferred
- At least 3 years’ work experience as a Facilities Administrative Coordinator or similar role.
- Good command of English both speaking and writing
- Excellent computer skills Mature and pleasant personality
- Positive, energetic and calm demeanor
- Strong interpersonal communication skills
- Flexible and multi-tasked
- Knowledge of facilities management operations
- Familiarity with office equipment and security systems
- Well-organized and detail oriented
