Summary

The materials manager is responsible for all the procedures in ordering, receiving, storing, and distributing items. Established an approved vendors list encompassing all categories.

Also to assist the Director of Finance and Operational Departments in the monitoring, reporting, and controlling of Cost of Sales in the hotel, including audit and control, financial analysis and reporting, budgeting, forecasting, etc.

**RESPONSIBILITIES**:

- Utilizes interpersonal and communication skills to lead, influence, and encourage others; advocates sound financial/business decision-making; demonstrates integrity and leads by example.
- Implement sound purchasing policies, systems, and procedures in accordance with Hyatt standards.
- Monitor vendors for quality, service, and price through standard purchasing specifications.
- Obtain competitive quotations for hotel requirements and ensure that the best product is sourced and purchased.
- Ensures that all orders receiving dates are updated by the buyers according to the suppliers' promised delivery dates.
- Verify the 'pending orders' report on a daily basis, and all pending orders are checked and verified regularly.
- Identifies items for standing orders utilizing vendor's logistics for regular deliveries to the hotel based on approved highly consumed items.
- Ensures & verifies that quotations are regularly updated and supplier’s new and current price lists are maintained.
- Research and identify new products and services for the hotel in the market.
- Approves all additional requests for new storeroom items, checking correct item description, unit, packing, and category and establishes Min/Max estimated stock levels.
- Verifies that all documentation and proper quotations are maintained and filed according to Policy and Procedure requirements.
- Responsible for maintaining logical storeroom inventory levels operationally needed.
- Uses relevant information and individual judgment to determine whether events or processes comply with laws, regulations, and hygiene standards.
- Ensures accurate administration of all invoices, and adherence to proper bookkeeping procedures.
- Demonstrates knowledge of job-relevant issues, products, systems, and processes.
- Supports annual quality audits.
- Reviews financial statements, sales and activity reports, and other performance data to measure productivity and goal achievement and to determine areas needing cost reduction and program improvement.
- Responsible for all administrative functions of the Materials Department, staffing, training, and execution of other related duties to ensure the efficient operation of the Materials Department in all aspects.

**Qualifications**:

- 4-year bachelor's degree in Finance and Accounting or related major.
- Minimum 5 years of experience as purchasing manager with expertise in the Hotel Business.
- Good knowledge of MS office suite and Materials Management Software

- Exceptional negotiating skills are required, along with a demonstrated ability to develop negotiation strategies for complex activities.
