**Sales Support Administrator - Your future position?**
You will be responsible for provide accurate and on-time administrative service and support to the account managers or KAM(s) and the wider commercial team in order to consistently deliver a superior customer experience.
**Main responsibilities**:
Strategy design and execution
- Ensure World Class Service for Customers
Project management
- Assist in managing commercial projects in collaboration with KAM(s).
- Entering projects, and monitoring the progress of projects and samples. Identify customer requirements and follow up on customer submissions
Subject matter expertise
- General backup and business support of Key Account Manager(s)
- Cultivate customer relationships within the portfolio of accounts
- Prepare and maintain Customer Directories for own KAM(s) Account List, containing all aspects of prices, codes, and contacts
- Prepare price quotes for review by KAM prior to confirmation to Customers, recording of prices in all Givaudan systems
- Prepare review documents for all “In Progress” projects for weekly meetings
- Where required by KAM(s) prepare customer presentations and service review document
- Participate and prepare for bi-monthly segment meetings and business reviews
- Ensure efficient service on all aspects of Customer Documentation, Questionnaires, Product Information Documents, etc.
- Take ownership of transitioning Customer projects / new wins from scale-up to production
- Prepare monthly reports of New Wins and New Launches by customers and by categories
- Investigate and assist in resolving customer complaints as necessary
- Assist KAM(s) in the preparation of the Account Plans
- Monitor customer market products, and brands using Global New Product Database
- Prepare results for Monthly review with KAM(s)
Sample arrangement/distribution
- In-coming samples: unpack all illustration and oil samples, recording all receiving samples (using Excel master data files).Grouping and putting in orders of those samples by clients or by projects
- Out-going samples: packing samples nicely, ready to ship out (either by salespeople or by messengers), preparing the submission sheets, sample label printing, dealing with both internal and outsourced messengers for all delivery cases (pick up base, send samples, etc.)
- Coordinating with GS for export cases and issuing the shipping documents e.g. invoices for export, etc.
Lab Support
- Oil stock organizing - help to do housekeeping of the oil stock area, put them in order for easier finding e.g. Shelf index, disposing of expired oil samples, labeling the samples, etc.
- Samples evaluation assistance
- assist Lex in preparing oil & evaluation samples for some occasions. (e.g. special events with clients, etc.
Market products purchasing-To buy market products online or in supermarkets, etc.
Information sourcing and update
- Product portfolio - updating the product portfolio by category, by clients
- Newsflash - exploring any news related to the relevant industries, market movement, and new launches. Also to cover any updates relevant to key clients, and keep the sales team posted weekly. (Key Clients consist of F&B and Chemical Manufacturings).

**Your professional profile includes**:
- Diploma/Bachelor's Degree in any field.
- At least 3 years of working experience in Sales Support
- Clear written and verbal communication
- Possess initiative, proactive and ability to multitask
- Demonstrate ability to learn quickly and openness to learning
- Good organizational and project management skills
- Able to handle highly confidential information
