**Key Responsibilities**:
- Welcome clients, vendors, and visitors in a professional and friendly manner. Ensure a positive and hospitable atmosphere in the reception area.
- Answer and direct incoming calls to the appropriate departments or individuals.
- Assist employees and visitors with general information about the company, facilities, meeting rooms, and amenities.
- Schedule and coordinate appointments, interviews, and meetings for executives and managers.
- Manage courier services and track incoming and outgoing shipments.
- Implement and follow security procedures, including issuing visitor badges and monitoring access to the premises.
- Provide general administrative support, including photocopying, faxing, and filing documents.
- Liaise with vendors and service providers, such as cleaning and maintenance personnel.
- Operate and manage office equipment, including phones, photocopiers, and other devices.
- Collaborate with other administrative staff and department heads to ensure smooth operations.
- Address and resolve routine administrative issues independently or escalate as necessary.
- Demonstrate effective verbal and written communication skills, especially when interacting with clients and internal teams.
- Keep accurate records of visitor logs, appointments, and other relevant information.
- Provide excellent customer service to both internal and external stakeholders.
- Understand and adapt to the diverse cultural backgrounds of clients, employees, and visitors.
- Handle multiple tasks simultaneously, especially during busy periods.
**Qualifications**:
- Bachelor's degree or equivalent is required.
- **Fluently English Communication - Verbal and Written required.**:
- Previous experience as a receptionist or in a similar administrative role is often preferred.
- Experience in a BPO or customer service environment may be advantageous.
- Ability to communicate professionally and effectively with clients, visitors, and internal staff.
- Strong organizational and multitasking abilities to handle various responsibilities efficiently.
- Maintain a professional appearance and demeanor.
- Awareness and adaptability to different cultural norms and practices, considering the diverse backgrounds of clients and colleagues.
