**Location**: Bangkok, Thailand
Scope of Position and Responsibilities
- Provide administrative assistance to Area Vice President, Operations as assigned.
- Provide full administrative assistance to the Hotel Manager, including preparation of correspondence, screening telephone calls, organizing appointments and meetings as well as screening and escorting visitors as appropriate.
- Liaise with Operations Committee and Department Heads under supervision of Hotel Manager and associates in relation to necessary follow-up on queries, deadlines, requests and special functions instigated by the Hotel Manager.
- Handle Board of Directors Meeting presentation and transcribe the meeting minutes for the Hotel Manager and the General Manager review.
- Handle Budget presentation and Executive Summary submission, yearly.
- Update Risk Assessment (RAM ) yearly and support Hotel Sustainability Committee (HSC) meeting, including preparation of presentation for the meeting and transcribing the meeting minutes for distribution.
- Support Hotel Sustainability Committee (HSC) by keeping Hotel sustainability information in GreenView portal updated (monthly and quarterly) as well as completing the quarterly surveys.
- Supports Executive Personal Assistant to the GM with administrative matters as required.
- Assist the Hotel Manager to manage the waste management project.
- Support hotel operational departments where required such as reservations, front office operations, food and beverage operations or as assigned by the Hotel Manager.
- Handle retail shop activities as assigned.
- Manage travel arrangements for the Hotel Manager as requested.
- Maintain an efficient filing and Trace system of the Hotel Manager’s Office including expense claim reports and others.
- Represent the Hotel Manager’s Office at guest/colleague functions as required or in the absence of the Hotel Manager.
- Handle and manage reservations which are booked through the Hotel Manager’s office.
- Act as an interpreter and make a translation in certain circumstances.
- Sort and distribute daily mail and coordinate courier services.
- Coordinate and follow up special projects as assigned, cost consultants, and contractors of each project.
Qualifications and Requirements:
- At least 3 years of working experience in a similar role with a strong administrative background.
- Good knowledge of Microsoft Office, including Word, Excel, and PowerPoint.
- Well
- Organised with a high level of integrity and professionalism, reliable, courteous, and with a good presentation.
- Able to handle multiple tasks simultaneously, be enthusiastic, and have initiative.
- Excellent communication skills both written and verbal in Thai and English.
