The role

Leschaco (Thailand) Ltd. is seeking an experienced and dedicated Assistant to the Managing Director for our corporate affairs and compliance division. In this critical role, you will provide high-level administrative support and act as a trusted partner to the Managing Director, ensuring the smooth running of the office and enabling them to focus on strategic priorities.

Key responsibilities:

Assistant to Managing Director

  • Provide general secretarial and administrative support to Managing Director and Board of Directors
  • Management of publications and advertisements
  • Prepare all working papers, presentations and other required data & information necessary for business meetings
  • Organize Management Meeting or any meeting required by Managing Directors, as well as taking minutes
  • Manage Local Townhall event:  Scheduling, Coordination, Prepare & consolidate presentation, Script preparation and post event video distribution / upload to share file.
  • Organize company's corporate events as assigned
  • Manage MD's business calendar and ensure that the needs are well prepared and smooth
  • Execute travel arrangements and reimbursement for Managing Director
  • Centralized management of Flight Booking coordination & purchasing accordingly to ISO WP.
  • In absence of Managing Director manage incoming communication by forwarding matters to respective line Managers for further action
  • Screen and forward incoming email of company's corporate email to respective line Managers
  • Annual Corporate gift selection & purchase coordination.
  • Excellent coordination within internal departments for signature coordination & timely support
  • Manage storage and monitoring of Company Agreements – customer/supplier.
  • Manage company's compliance
  • Manage company's Corporate affairs – Cluster TH/VN
  • Work as assigned by Managing Director

Corporate Affairs

  • Process and manage company's corporate documents, including government concerned and any membership of association and chamber and log control to ensure the up to date and compliance to the law or rules and regulations
  • Support to provide company's corporate documents as requested
  • Prepare, Verify and manage documents required for the BOD's signing to be completed and correct
  • Work as company's secretary to organize company's Shareholder's meeting and Board of Directors meeting and complete all required documents by law

Act as Compliance Manager

  • Guide and manage the Compliance policy and issues including investigation, audit, and report with communication to the Board in Germany
  • Leading the Compliance Committee and meeting
  • Approval of Compliance Request and Declaration.
  • Compliance & Anti-Corruption: Yearly Refresh training to all employee
  • Social Media policy: Yearly Refresh announcement guideline to all employees

What we're looking for:

  • Minimum 5 years' experience in an administrative or executive assistant role, preferably within a corporate environment
  • Excellent communication and interpersonal skills, with the ability to interact confidently with individuals at all levels
  • Strong organizational and time management skills, with the ability to juggle multiple priorities and meet deadline
  • Proficient in using Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office technologies
  • Attention to detail and a high level of accuracy in your work
  • Discretion and the ability to handle sensitive information with the utmost confidentiality
  • A proactive, adaptable and solutions-oriented mindset
