Job Title: HR & Admin Specialist

Job Overview

We are seeking a responsible and well-organized HR & Admin Specialist with basic finance skills to support daily operations in our company. This role combines human resources functions with office administration and simple financial tasks, ensuring efficient support for recruitment, employee services, office operations, and accounting-related work.

Key Responsibilities

  1. Human Resources


• Manage full-cycle recruitment for frontline and operational positions (customer service agents, drivers, fleet coordinators, mechanics, etc.).


• Conduct onboarding and offboarding procedures, prepare employment contracts, and verify required documents (e.g., valid driver's licenses).


• Maintain HR records, HRIS data, attendance tracking, shift schedules, and leave records.


• Handle employee relations matters and support performance management.


• Ensure compliance with labor laws, company policies, and operational safety requirements.


• Organize employee training, safety briefings, and engagement activities.

  1. Office Administration


• Manage office supplies, equipment maintenance, and coordination with vendors and service providers.


• Handle company documents, filing, correspondence, and administrative records.


• Arrange travel, meetings, and logistics for management and operational teams.


• Support contracts and documentation related to rental locations, fleet services, and vendors.


• Provide reception or customer support when necessary.

  1. Basic Finance & Accounting Support


• Assist with daily bookkeeping tasks, including invoice collection, expense tracking, and data entry.


• Prepare reimbursement claims, maintain petty cash records, and assist with monthly financial summaries.


• Support payroll preparation through accurate attendance and leave data submission.


• Assist with vendor payments, bank document submissions, and basic financial reporting.


• Work closely with the finance team to ensure timely and accurate document flow.

Qualifications


• Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field.


• 1–3 years of experience in HR, administration, or basic accounting.


• Knowledge of HR fundamentals and basic financial processes.


• Strong communication and organizational skills.


• Proficiency in MS Office; HRIS or accounting software experience is a plus.


• High integrity, confidentiality, and strong attention to detail.

Preferred Qualifications


• Experience in the car rental, fleet, transportation, or service industry.


• Experience supporting multi-location or shift-based teams.


• HR or accounting certifications are a plus.

Work Conditions


• Working Hours: 9:00 AM – 6:00 PM


• Rest Days: 4 days off per month


• Employment Type: Full-time
