GENERAL FUNCTION:

The Project Coordinator and Business Support is responsible for providing day-to-day administrative and operational coordination support to ensure smooth business operations. This role focuses on documentation and coordination support, Purchase Requisition (PR) preparation, coordination with the accounting team, and sales administration support, while working closely with internal teams and external stakeholders.

KEY RESPONSIBILITIES:

  • Assist in day-to-day coordination and management with internal and external stakeholders to support team's operation

  • Facilitate clear and consistent communication between team members, management, and external stakeholders to ensure smooth operation of business or drone missions.

  • Schedule, organize, and attend meetings as necessary, preparing agendas, taking minutes, and following up on action items to maintain project timelines.

  • Manage and prepare necessary documents and paperwork prior to mission mobilization including permit to work, flight permit, business travel management, and other regulatory documentation.

  • Provide support to team in related to administration works such as reimbursement, travel and accommodation arrangement, etc.

  • Track and manage expenses incurred during the operation of each mission

  • Support operation teams by coordinating Purchase Requisition (PR) documentation in accordance with company procurement policies and procedures.

  • Prepare and submit invoice and associated documents to customers after the completion of each project

  • Perform other tasks as assigned by the supervisor, demonstrating flexibility and a willingness to support the team in various capacities.

  • Proactively identify and suggest improvements to administrative processes to enhance efficiency and effectiveness.

  • Monitor, control, and coordinate all project activities amongst cross-functional to ensure scope, timeline, and resource with highest quality

Sales Administration Support

  • Prepare and issue quotations based on information provided by the Sales team.

  • Coordinate with Sales to confirm quotation details and supporting information.

  • Maintain records of quotations and related sales documents.

Qualifications:

  • Bachelor's degree in Business Administration, Accounting, or related field.

  • At least 2 years of experience in administrative, project coordination, or business support roles

  • Strong attention to detail with a high level of accuracy in documentation and coordination work.

  • Basic understanding of procurement and accounting documentation is an advantage.

  • Service-minded, highly organized, and detail-oriented, with a strong sense of urgency and a problem-solving, can-do mindset.

  • Able to coordinate effectively with internal teams and external vendors or stakeholders.

  • Proficient in MS Office (Excel, Word, Email).

  • Willing to learn and support operational and project-based activities.
