As the Operations Manager of Dulwich College Bangkok, you are responsible for the overall management and smooth operation of the school campus. You will oversee daily operations, manage external relationships, ensure regulatory compliance, and uphold the highest standards of campus health and safety.

Duties and Responsibilities

Manage Daily Operations & Vendor KPIs

  • Oversee all aspects of daily campus operations, including but not limited to general operations management, facility management & maintenance, health & safety, security, cleaning, landscaping, transportation, nursing services, catering, bussing, etc.
  • Collaborate with DBA to develop and implement efficient operational processes to optimise productivity and ensure the seamless functioning of the campus.
  • Allocate resources, such as budget, personnel, and facilities, effectively to meet the day-to-day needs of the campus, within the approved annual budget parameters.
  • Monitor and control expenses, ensuring that operations are cost-effective while maintaining quality standards.
  • Proactively identify and pursue opportunities to optimize effectiveness and achieve cost savings, process and functionality improvements.
  • Manage and oversee the delivery of operational support for school activities and events, working with the outsourced IFM (Integrated Facility Management) providers to deliver the required services

  • Establish and manage relationships with external vendors and service partners.

  • Define and track key performance indicators (KPIs) for vendors and service partners to ensure they meet or exceed service and quality expectations.
  • Conduct regular vendor and service partner evaluations and resolve any issues or disputes in a timely manner.
  • Responsible for implementing initiatives to improve the College's carbon and environmental footprint by tracking and driving efficiencies in utilities consumption (such as electricity, water, gas etc.), reduction in waste and sensible and sustainable recycling.
  • Take ownership of the 3-5 year campus maintenance and development plan.

  • Carry out duties that the DBA assigns to ensure consistent delivery of service to the College.

Manage External Relationships & Regulatory Reporting

  • Build and maintain positive relationships with external stakeholders, including local community organizations, educational institutions, and government agencies.
  • Stay updated on all relevant local, state, and national regulations affecting the school. Ensure that the campus complies with all regulatory requirements, such as educational standards, safety regulations, and environmental laws.
  • Prepare and submit accurate regulatory reports in a timely manner, as required by authorities.

Campus Health & Safety

  • Implement and enforce comprehensive health and safety policies and procedures across the campus. Conduct regular safety audits and inspections to identify and address potential hazards, ensuring a safe learning and working environment for students, faculty, and staff.
  • Maintain an emergency response plan for the campus. Coordinate emergency drills, such as fire drills, earthquake drills, and lockdown drills, to ensure that all members of the campus community are prepared to respond effectively in case of an emergency.
  • Promote a healthy campus environment. Collaborate with local health agencies to address any health-related issues or concerns on campus.
  • Ensure all possible precautions and safe systems of work are maintained to identify hazards and control risks.

Safeguarding

  • Coordinate the safeguarding training and procedural review of operations-related 3rd party service providers.
  • Carry out annual audit of the 3rd party service providers' safeguarding documentation and process.

Staff Management

  • Manage operations staff.
  • Conduct career planning for staff.
  • Maintain a well-motivated department.
  • Conduct performance appraisal of staff and performance management
  • Set goals for operations department and staff.

To undertake any reasonable request made by the line manager that ensures consistent delivery of service to the College, including potentially some temporary cross functional team support or back-up.

Capabilities

  • An experienced manager with the ability to lead a diverse team.
  • An understanding and appreciation of the ethos of Dulwich College.
  • Is forward-thinking and proactive – understands the concept of continual improvement.
  • Has the ability to work under pressure with a flexible approach to problem-solving.
  • Related working experiences in the professional management of international school (or comparable premium service sector) bus service, cleaning, security, catering and facility & maintenance is required.
  • Related working experiences in communication with parents, staff students are preferred.
  • Strong sense of teamwork spirit is required.
  • Strong leadership in staff management with the experience of managing staff teams of no less than 60 staff is required.

Mandatory

  • Bachelor's degree.
  • Minimum 5-8 years related experience.
  • Good command of spoken and written English and Thai.
