The Project Administrator will provide structured administrative and documentation support to the Project Management and Sales teams, with a strong focus on project tender documentation, contracts, and compliance records.

This role ensures that project and tender-related documents are properly prepared, tracked, and maintained, allowing engineers to focus on technical and delivery responsibilities.

Key Responsibilities

Project & Tender Documentation Management (Core Responsibility)


• Prepare, organize, and maintain project tender documentation, including:


• Tender submissions


• Performance bonds


• Contracts, addendums, and amendments


• Compliance and qualification documents


• Maintain a structured document control system for active tenders, awarded projects, and completed projects.


• Ensure all tender and project documents are accurate, up to date, properly version-controlled, and easily retrievable.


• Coordinate document inputs from Sales, Engineering, Finance, and external partners where required.

Project Administrative Support


• Create, update, and track project timelines, milestones, and deadlines.


• Schedule project meetings, prepare agendas, record and distribute meeting minutes.


• Assist in preparing and formatting project reports, presentations, and status updates.


• Support Project Managers in maintaining documentation required for risk mitigation, audits, and compliance.

Financial & Commercial Support


• Track and monitor project-related expenses and budgets.


• Assist with processing invoices, payment documentation, and financial data required for internal reporting.


• Coordinate with Finance on documentation related to performance bonds, payment milestones, and contractual obligations.

Logistics & Coordination


• Arrange travel and logistics for project team members when required.


• Coordinate administrative matters with internal teams and external stakeholders.

Key Skills & Experience


• Experience in project administration, tender documentation, contract administration, or operations support


• Strong document organization and attention to detail


• Familiarity with tender processes, contracts, and compliance documentation is a strong advantage


• Good coordination and communication skills


• Comfortable working with Engineering, Sales, Finance, and external partners


• Proficient in MS Office / Google Workspace (Word, Excel, PowerPoint)
