HR & Admin Manager

- Manage candidate pipelines and schedules — liaising with applicants, arranging interviews, and updating tracking sheets.
- Support job posting across platforms (LinkedIn, JobStreet etc.) throughout SEA region.
- Prepare candidate summaries and maintain records of evaluations.
- Coordinate freelancer contracts and extensions with the leadership team.
- Maintain HR documents (contracts, NDAs, onboarding forms) and ensure compliance with company templates.
2. Administrative & Office Support
- Coordinate meetings, calls, and travel schedules for the leadership and project teams.
- Manage shared calendars, meeting notes, and action trackers.
- Maintain digital filing systems and documentation across teams.
- Assist with contract preparation, invoicing, and vendor coordination.
- Support onboarding logistics for new hires or freelancers (access setup, documentation, welcome materials).
3. Finance & Operations Support
- Track and reconcile monthly team expenses, reimbursements, and receipts.
- Support salary, benefits, and cost benchmarking across markets (in collaboration with finance and operations).
- Help prepare monthly expense summaries and documentation for finance reporting.
- Coordinate with vendors, coworking spaces, or suppliers on administrative matters (e.g., workspace renewals, invoices).
4. General Support for Leadership
- Assist with presentation materials, reports, and meeting summaries.
- Support cross-functional initiatives — e.g., training sessions, team-building activities, or internal communications.
- Handle confidential information with discretion.
What We're Looking For
- 2-3 years of experience in administration, operations, or HR support (agency or regional experience a plus).
- Experience in recruitment coordination or HR admin.
- Proficient in English, knowledge of Chinese is a plus
- Highly organised, reliable, and detail-oriented.
- Strong communication and interpersonal skills (English proficiency required).
- Comfortable working across time zones and using digital collaboration tools (Google Workspace, Slack, Notion, Excel/Sheets).
- Self-starter who can manage multiple priorities with minimal supervision.
- Enthusiastic about supporting creative and fast-paced teams.
Nice to Haves
- Basic finance or accounting exposure (expense or payroll tracking).
- Familiarity with digital hiring platforms and coworking space management.
- Fluency in Chinese and other Southeast Asia language (Bahasa, Vietnamese, Tagalog, Thai)
