The HR Supervisor is responsible for managing and overseeing all HR functions at site level, ensuring effective manpower management, compliance with labor laws, and smooth HR operations to support warehouse and logistics activities. This role requires strong commitment, attention to detail, and hands-on execution
Key Responsibilities
1. Recruitment & Manpower Management
- Manage end-to-end recruitment for officer to supervisor level
- Coordinate manpower planning based on operational requirements, shifts, and peak periods
- Conduct interviews, background checks, and prepare job offers
- Ensure timely onboarding to minimize operational disruption
2. Onboarding & Site Induction
- Conduct new employee induction covering company rules, warehouse safety, and work discipline
- Coordinate with Operations and Safety teams for site orientation and training
- Monitor probation period and performance feedback
3. HR Operations & Administration
- Maintain accurate employee records, attendance, leave, shift schedules, and overtime data
- Monitor absenteeism, lateness, and turnover; provide regular reports to management
- Ensure all HR documentation is complete, accurate, and audit-ready
- Prepare weekly, monthly, and annual HR reports for site and head office
4. Payroll & Time Attendance
- Track & Monitor time attendance, OT calculation, and payroll inputs with Finance & HR Payroll team
- Ensure payroll accuracy, especially for shift work, OT, allowances, and deductions
5. Employee Relations & Discipline
- Act as the first point of contact for employee relations at site
- Handle disciplinary cases, warnings, investigations, and documentation in line with company policy
- Ensure fair and consistent application of rules and disciplinary actions
6. Labor Law & Compliance
- Ensure compliance with labor laws, site regulations, and company policies
- Manage labor inspections, audits, and statutory requirements
7. Health, Safety & Welfare Support
- Work closely with Safety and Operations teams to promote a safe working environment
- Support safety initiatives, toolbox talks, and site welfare activities
8. Performance Management & Development
- Support performance appraisal and probation review processes to ensure on-time completion
- Ensure training plans, hours, and documentation meet Department of Skill Development (DSD) requirements
- Coordinate and organize training programs in compliance
- Maintain and update accurate training records, attendance, and certificates
9. Agency & Outsourcing Workforce Management
- Manage and coordinate with labor agencies and outsourcing vendors for warehouse and logistics operations
- Control manpower supplied by agencies to ensure it meets operational requirements, headcount plans, and productivity standards
- Verify and validate agency employee documentation, contracts, and legal compliance
- Monitor attendance, performance, discipline, and turnover of agency workers
- Review timesheets, OT, and invoices from agencies to ensure accuracy before submission for payment
Qualifications & Requirements
- Bachelor's degree in human resources, Business Administration, or related field
- Minimum 3–5 years of HR experience, preferably in warehouse, logistics, manufacturing, or operations environment
- Strong understanding of labor law, shift work, and blue-collar workforce management
- Highly detail-oriented, organized, and disciplined
- Strong commitment, reliability, and ability to work under pressure
- Good communication skills and ability to work with operational teams
- Willingness to work onsite and flexible with operational schedules
