**Job Description**:
We are currently seeking an Operations Executive, reporting to the Brand Manager to join our dynamic team in Thailand.

This role is to oversee the administrative operations of a business. They are in charge of the department’s day-to-day functions as well as supervising and supporting retail staff.
- How you will contribute:_

Office Administrative:

- Perform general office activities, such as greeting visitors, filing, photocopying, processing outgoing and incoming mail, and distributing/coordinating messages to appropriate staff.
- Oversee the preparation, analysis, negotiation, and review of contracts related to purchasing materials, supplies, products, or services.
- Translate documents from Thai to English language or vice-versa when needed.
- Provide or oversee centralized operations and procedures of services for the business.
- Create and maintain effective internal controls for equipment inventory in both office & retail store
- Maintain and safeguard business records.
- Manage the organization’s office and storage space. Perform as liaison with various vendors, providing maintenance, security, and other occupancy services.

Retail Operations Administrative
- Manage store supplies and inventories. Eg: Stationery, Name tags/Name cards, Service props, uniforms, Kitchen Amenities, etc.
- Coordinate with the mall for all related matters to retail staff. Eg: Mall promotion, Training, New staffs pass, In Mall communication
- Coordinate store cleaning services, Part timer, and store maintenance with external agencies
- Maintain a good filing system for all correspondence, invoices, contracts
- Update the recording system to provide clear and accurate information on retail staff, roster planning, staff and store list, etc.
- Raise Purchase orders and follow up on payment arrangements with Finance and suppliers
- Liaise and coordinate repairs from the store and follow up with the Quality control department (Italy) on all repair shipment matters
- Act as the main point of contact for repaired merchandise upon return from the Quality control department (Italy) and follow up with store
- Consolidate store requests pertaining to spare parts ordering and tracking system

Human Resource:

- Work with HR on liaising/coordinating with the Insurance company, health check-ups (yearly)
- Assist in getting system accesses, equipment, or tools needed for new hires

Finance:

- Assisting and maintaining various contract requirements.
- Develop external relationships with appropriate contacts, e.g. IT, accounting firm, human resources, Revenue department, Custom department, Forwarder
- Handle vendor invoices and employee expense claim forms and transmit them to Accounting Department.
- Review and approve weekly payable for processing.
- Prepare month-end program reports for office equipment and send them to the accounting department
- Assist the Accounting department in preparing monthly invoices.
- Perform other duties as assigned.
